Job Summary
We are seeking a detail-oriented and highly organized Bookkeeper / Executive Assistant to join our team. Assistant is responsible for managing the company’s day-to-day financial records while also providing high-level administrative and executive support. This role requires strong attention to detail, discretion, and the ability to manage multiple priorities in a fast-paced environment.
Responsibilities - Bookkeeping
- Maintain accurate and up-to-date financial records using QuickBooks Online and/or Desktop
- Record and reconcile bank accounts, credit cards, and loan accounts
- Manage accounts payable and accounts receivable
- Prepare and issue invoices, apply payments, credits, and adjustments
- Track expenses and ensure proper coding to general ledger accounts
- Prepare HST filings and support compliance with CRA requirements
- Maintain organized supporting documentation for audits and year-end
- Work with external accountants on month-end and year-end reporting
- Assist with payroll processing and remittances, where applicable
Responsibilities - Executive Assistant
- Provide administrative support to the Owner and senior management
- Manage calendars, meetings, and correspondence
- Prepare reports, spreadsheets, and financial summaries as requested
- Handle confidential information with discretion and professionalism
- Coordinate with vendors, customers, accountants, and legal advisors
- Assist with document preparation, filing, and record management
- Support special projects and ad-hoc requests as required
Requirements
- Proven experience in bookkeeping and administrative support roles
- Strong working knowledge of QuickBooks
- Understanding of basic accounting principles and HST requirements
- Proficient in Microsoft Office, including Excel, Word, Outlook, and/or Teams
- Excellent organizational and time-management skills
- High level of accuracy and attention to detail
- Strong written and verbal communication skills
- Ability to work independently and prioritize tasks effectively
- Discretion and professionalism when handling sensitive information
Pay: $40,000.00-$60,000.00 per year
