About the Role
We're looking for an organized and reliable Administrative Assistant to support the day-to-day operations of our growing team. This is a hands-on role covering order entry, project coordination support, bookkeeping, and invoicing — ideal for someone who thrives on structure and enjoys keeping things running smoothly behind the scenes.
Key Responsibilities
- Process and track customer orders from entry through fulfillment
- Provide administrative support on active projects (scheduling, documentation, follow-ups)
- Assist with day-to-day bookkeeping tasks (data entry, expense tracking, reconciliations)
- Prepare and send client invoices, and follow up on outstanding payments
- Maintain accurate records for orders, projects, and financial documents
- Support general office administration (correspondence, filing, supplier communications)
- Coordinate with the sales, technical, and production teams to keep information up to date
What We're Looking For
- 1–3+ years of experience in an administrative, office management, or bookkeeping support role
- Comfort with order processing, basic bookkeeping, and invoicing (experience with QuickBooks or similar an asset)
- Strong organizational skills with excellent attention to detail
- Ability to manage multiple tasks and priorities in a fast-paced environment
- Good written and verbal communication skills (English and French an asset)
- Proficiency with Microsoft Office/Google Workspace
