The Assistant Lease Administrator provides administrative and clerical support to the Senior Lease Administrator and assists with the day-to-day administration of leasing documentation and records for West Edmonton Mall. This is a junior, entry-level position designed for someone looking to build a career in administrative support. The primary focus of this role is tracking information, maintaining accurate records, processing signed documentation into internal systems, and supporting the leasing process through a variety of administrative tasks.

PRIMARY RESPONSIBILITIES:
- Provide daily administrative and clerical support to the Senior Lease Administrator, including filing, scanning, organizing, and maintaining physical and electronic records.
- Utilize standard company templates to draft basic temporary leases, storage agreements, renewals, and standard notices under supervision.
- Enter and maintain key lease dates, tenant information, and lease obligations within internal databases to ensure accurate and up-to-date records.
- Track signed lease documentation and ensure completed agreements are processed and filed appropriately within internal systems.
- Review incoming tenant insurance certificates for completeness, record expiration dates, and distribute standard reminder notices for expired or deficient coverage.
- Monitor and update lease administration tracking tools and spreadsheets as required.
- Respond to basic documentation-related inquiries from internal departments and tenants, resolving routine clerical questions and directing more complex matters to senior team members.
- Assist with the preparation, organization, and distribution of leasing documentation and correspondence.
- Support various leasing and administrative projects and perform other related duties as assigned.
DESIRED QUALIFICATIONS:
- 0–1 years of experience in general office administration, data entry, document management, or a related administrative environment.
- Completion of, or enrollment in, a Legal Assistant, Office Administration, Business Administration, or related post-secondary program is considered an asset.
- Strong attention to detail and commitment to accuracy.
- Excellent organizational and time management skills.
- Ability to follow established procedures and work effectively under direction and supervision.
- Strong verbal and written communication skills.
- Ability to maintain confidentiality and handle sensitive information professionally.
- Proficiency with Microsoft Office applications, including Word, Excel, and Outlook.
- Ability to learn new systems, processes, and software programs.
