Administrative Support I
Location: Facility Services
Commencing August 4, 2026
37.5 hours weekly, Ongoing 12 month position
The Administrative Support – Facility Services position provides administrative, operational, and communication support to the Facility Services Department. This role supports the department through records management, scheduling, correspondence, meeting coordination, and customer service. The position is also responsible for coordinating facility access and security administration, including maintaining access control systems, managing key and fob inventories, coordinating building access requests, and supporting Division security procedures and documentation.
Key Duties

Provide administrative support to the Facility Services Department, including scheduling, correspondence, records management, and meeting coordination.

Maintain electronic and hard copy files, reports, and departmental documentation.

Administer facility access control systems, including key and fob assignments, tracking, and audits.

Coordinate building access requests and maintain security/access records.

Act as a point of contact for staff, contractors, vendors, and the public.

Support departmental communications, office operations, and general administrative functions.

Maintain confidentiality and support a positive, collaborative work environment.
Desirable Qualifications
-
Completion of an accredited Office Administration program.

Two years of related administrative experience, preferably in facilities, maintenance, operations, or construction environments.

Strong organizational, communication, customer service, and problem-solving skills.

Ability to manage multiple priorities in a fast-paced environment.

Proficiency with Google platforms and general office software applications.

Experience with AssetPlanner is considered an asset.

Ability to work independently while contributing to a collaborative team environment.
