ABOUT YOU:
We are looking for a personable and responsible Administrative Assistant to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to the directors and managers, assisting in daily office needs, and managing our company’s general administrative activities. You will be responsible for answering and directing phone calls, organizing, and scheduling appointments and meetings, maintaining contact lists, producing, and distributing correspondence memos, letters, faxes, and forms, assisting in the preparation of regularly scheduled reports, developing and maintaining a filing system.
** This position is based on site in Nanaimo, BC. This is a regular part-time role, requiring 21 hours per week (3 days).
** As part of the recruitment process, applicants’ skills in Microsoft Outlook may be assessed.
CORE RESPONSIBILITIES:

Responsible for the support function for the department/division including the arrangement of meeting and appointments, preparation of minutes and agendas composition of routing correspondence, photocopying, scanning and preparation of written materials and the collection and processing of data.

Acts with some independence as liaison with internal and external contacts as in relates to the provision of information, obtaining information, setting meetings and other related departmental activities.

Takes a proactive approach to annual reoccurring tasks by initiating the tasks, advising the supervisor responsible, creating, and maintaining a tracking system of workflow etc.

Assists with the planning and coordination of events. This may include recruitment and training of volunteers.

Provides administrative/technical support for activities that relate to departmental activities.

Responds to inquiries from internal and external sources by providing information based on a knowledge and understanding of standard departmental guidelines, procedures and policies.

Performs timely and accurate data entry for departmental activities, ensuring that CRM system can be relied on as the primary source of information.

Creates and maintains standard documents, spreadsheets, presentations and databases using a variety of software programs and online data retrieval.

Coordinates and participates in the production of various materials and may coordinate volunteers.

Experience/Education

WORKING CONDITIONS:

Monday to Friday 8.30 am to 4.30 pm, 3 days per week

Adaptable to schedule changes and outside of business hours to attend meetings and events

Has access to reliable transportation to organize and attend events, bring collateral etc.

Ability to lift 20 lbs.

Will provide reception coverage as needed/required.

This is a bargaining unit role with CUPE Local 1760. This position is at pay grade 29, which is $32.36 hourly.
Candidates must live within 80 KMs (commuting distance) from our office as office attendance is required.
