Project Manager Assistant (PMA) – Fix Network Restoration Edmonton (A Division of the Luxuria Group of Companies)

We specialize in disaster restoration services—helping families and businesses recover from events such as fire, flood, storm, and other emergencies. We are currently seeking a PMA to join our growing restoration team in Edmonton, AB. This role is ideal for an ambitious, detail-oriented individual who is eager to develop their career in disaster restoration.
The PMA plays a critical role in supporting daily operations by coordinating administrative functions, managing job documentation, and ensuring smooth communication between field teams, clients, and internal stakeholders. This role is responsible for keeping projects organized, compliant, and moving forward efficiently from intake to completion.
Key Responsibilities
- Create and maintain job files, ensuring all documentation is complete and up to date
- Track job progress from intake through completion
- Assist with scheduling crews, equipment, and subcontractors
- Support work order creation and job setup in internal systems
- Maintain accurate records of job activities, notes, and updates
- Act as a point of contact for clients, adjusters, and internal teams
- Provide updates on job status, timelines, and next steps
- Handle incoming calls, emails, and service requests in a professional manner
- Escalate urgent issues to Project Managers as needed
- Ensure all required documentation is collected and properly filed (photos, reports, authorizations, etc.)
- Support insurance and claims documentation processes
- Maintain organized digital and physical job files
- Assist with ensuring compliance with company procedures and industry standards
- Coordinate daily schedules for field teams in collaboration with Project Managers
- Track equipment availability and assist with allocation
- Arrange material orders and deliveries as required
- Support on-call scheduling coordination
- Assist with preparing job files for invoicing
- Track job costs and ensure documentation aligns with billing requirements
- Generate basic reports on job status, timelines, and operational metrics
Qualifications & Requirements
- 2–4 years of administrative, PMA, or coordination experience (restoration, construction, or similar industry preferred)
- Strong organizational and multitasking skills
- Excellent communication and customer service abilities
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Experience with Xactimate or XactAnalysis considered an asset
- Ability to work in a fast-paced, deadline-driven environment
