We are seeking an HSE Administrator to join a major mining and minerals project in Ontario. The Site HSE Administrator is responsible for providing administrative and coordination support to the Site Health, Safety & Environment (HSE) team to ensure the efficient delivery of all site safety programs, documentation, reporting, and compliance activities. Working in a fast-paced FIFO mining construction environment, the role supports the implementation of HSE systems and processes while maintaining accurate records and ensuring regulatory and project compliance.
The successful candidate will have previous experience supporting HSE teams on large-scale mining, mineral processing, infrastructure, or industrial construction projects and will be comfortable working in remote locations under rotational FIFO arrangements.
The Site HSE Administrator reports directly to the Site HSE Manager and works closely with project management, supervisors, contractors, client representatives, and corporate HSE personnel.
About the role
- Provide day-to-day administrative support to the Site HSE team.
- Maintain accurate HSE records, registers, logs, databases, and filing systems.
- Manage confidential HSE documentation in accordance with company procedures.
- Ensure all HSE documentation is current, controlled, and readily accessible.
- Support document control for HSE procedures, Safe Work Method Statements (SWMS), Job Hazard Analyses (JHAs), Safe Work Procedures (SWPs), risk assessments, and permits.
- Coordinate employee and contractor site inductions.
- Prepare induction materials and maintain attendance records.
- Verify mandatory training, certifications, licences, and competency records before personnel mobilization.
- Maintain the site's competency and training matrix.
- Track expiry dates for qualifications, medicals, and required certifications.
- Assist with recording incidents, near misses, hazards, observations, and corrective actions.
- Maintain incident registers and ensure documentation is complete.
- Compile weekly and monthly HSE statistics.
- Support preparation of HSE reports for project management and client review.
- Monitor action tracking systems and follow up on outstanding corrective actions.
- Coordinate HSE meetings, toolbox talks, and safety committee meetings.
- Prepare agendas, meeting minutes, and action registers.
- Distribute HSE communications, alerts, bulletins, and safety notices.
- Assist with organizing site safety campaigns and awareness initiatives.
- Support internal and external HSE audits and inspections.
- Maintain audit records and close-out documentation.
- Assist with regulatory reporting requirements.
- Ensure HSE documentation complies with project, client, and legislative requirements.
- Monitor document revision status and maintain controlled copies.
- Maintain electronic HSE management systems and databases.
- Generate reports from HSE software platforms.
- Track leading and lagging safety performance indicators.
- Support data analysis and reporting for management reviews.
- Assist with contractor prequalification documentation.
- Maintain contractor HSE records.
- Monitor contractor compliance documentation.
- Coordinate submission of required client documentation.
- Coordinate travel and accommodation requests for HSE personnel where required.
- Order HSE office supplies, PPE inventory, signage, and safety materials.
- Assist with organizing emergency response drills and training records.
- Provide administrative support during project mobilization and demobilization activities.
About you
- Diploma or Certificate in Business Administration, Office Administration, Occupational Health & Safety, or a related discipline.
- Formal HSE training or safety administration qualifications are considered an asset.
- Training in document control or records management is advantageous.
- Minimum 3–5 years of experience in an HSE administration role.
- Previous experience supporting mining, mineral processing, heavy industrial, construction, EPC, or EPCM projects is essential.
- Experience working on remote FIFO construction sites.
- Familiarity with major contractor and client HSE requirements.
- Experience supporting projects during construction and commissioning phases is preferred.
- Strong understanding of mining construction safety documentation.
- Knowledge of occupational health and safety legislation.
- Experience with HSE management systems.
- Familiarity with permit-to-work systems.
- Understanding of hazard identification and risk management processes.
- Experience with incident reporting systems.
- Working knowledge of document control processes.
- Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Microsoft Teams and SharePoint.
- Electronic document management systems (Aconex, SharePoint, Procore, or equivalent).

Salary range: $79,000 - $114,000 annually
