We are currently looking to hire a Dental Admin Professional to join our busy and well-established practice. As part of the Administrator team, you are the face of the business. The successful candidate will have a passion for building strong patient relationships and contributing to the ongoing oral health of their community. In this busy role, you’ll have the opportunity to work alongside and learn from a strong team of dental professionals.
Schedule:
Monday - Thursday - evening shifts (approx. 10:30am-7pm) and Saturdays (approx. 8:30am-3pm)
Dental experience or education required
Duties and Responsibilities:
1. Patient Reception & Communication
- Greet patients and create a welcoming environment
- Answer phone calls, emails, and online inquiries
- Schedule, confirm, and reschedule appointments
- Manage appointment reminders and follow-ups
- Handle patient questions about treatments, policies, and office procedures
2. Patient Records Management
- Create and update patient files
- Maintain accurate medical and dental histories
- Ensure confidentiality of records (privacy compliance)
- Process consent forms and treatment documentation
- Organize digital records using practice management software
3. Billing & Insurance Processing
- Prepare invoices and collect payments
- Submit insurance claims and pre-authorizations
- Verify patient insurance coverage and benefits
- Follow up on unpaid claims or balances
- Maintain financial records and payment plans
4. Appointment & Office Coordination
- Manage the dentist’s and hygienists’ schedules
- Coordinate treatment timelines and recalls
- Handle cancellations and emergency bookings
- Monitor daily patient flow to reduce delays
- Prepare administrative reports
6. Compliance & Administrative Support
- Assist with maintaining workplace health and safety standards
- Support dental regulations and privacy laws
- Manage referrals and specialist communications
- Prepare documents for audits or inspections
7. Customer Service & Patient Experience
- Explain payment options and financing
- Address complaints or concerns professionally
- Support patient retention through recalls and follow-ups
- Help patients feel informed and comfortable
