We are seeking a professional, organized, and family-focused Medical Office Administrator to join our Pediatric Dermatology Clinic. The role includes managing appointments, maintaining accurate electronic medical records (EMR), coordinating referrals, processing documentation, and assisting with clinic operations as needed. Duties
Front Desk
- Greet and assist children, parents, and caregivers in a warm and professional manner.
- Manage patient check-in/check-out and appointment scheduling.
- Provide pre-visit instructions and answer inquiries regarding appointments, referrals, and clinic policies.
- Maintain a clean, organized, and family-friendly reception and waiting area.
- Help create a positive and welcoming experience for pediatric patients.
Administrative & Clinical Support
- Update patient information in the EMR and prepare charts for clinic visits.
- Manage incoming calls, messages, scanning, faxing, filing, and general office administration.
- Process incoming and outgoing referrals and ensure all documentation is complete and accurate.
- Track referral status and follow up with referring providers as needed.
- Organize clinical documents and manage clinic email and fax communications.
- Coordinate related appointments, investigations, and specialist referrals when required.
- Escalate urgent clinical concerns according to established clinic protocols.
Clinic Coordination
- Support efficient clinic flow by collaborating closely with physicians and clinical staff.
- Follow clinic procedures for appointment reminders, cancellations, and no-shows.
- Manage time-sensitive communications and administrative requests.
- Assist with daily operational tasks to ensure a smooth and positive patient experience.
- Contribute to a collaborative and supportive team environment focused on exceptional pediatric care.
Skills & Qualifications

Preferred
- Previous experience in a medical office, pediatric clinic, or dermatology practice.
- Familiarity with Accuro or other EMR platforms.
- Experience with OHIP billing
- Experience with medical terminology, referrals, and clinical documentation.
- Experience working with children and families in a healthcare setting.
