A well-established Canadian law firm is seeking an experienced Legal Administrative Assistant to join its Vancouver litigation team. This is an excellent opportunity to support a busy practice while working alongside experienced legal professionals in a collaborative and professional environment.
The successful candidate will have at least three years of litigation experience, strong knowledge of court rules and procedures, and the ability to manage confidential matters with discretion. This position is ideal for someone who is organized, detail-oriented, proactive, and comfortable managing multiple priorities and deadlines.
Key Responsibilities:
- Preparing, editing, formatting, scanning, and revising correspondence, memoranda, pleadings, reports, forms, and other legal documents
- Proofreading documents for formatting, spelling, grammar, accuracy, and clarity
- Assisting lawyers with the preparation and coordination of hearings and trials
- Preparing basic pleadings and other court-related materials
- Coordinating the filing and service of court documents
- Scheduling discoveries, hearings, expert witnesses, trials, and other important dates
- Monitoring court appearances, filing requirements, deadlines, and evidence-gathering activities
- Opening, organizing, maintaining, and closing electronic and paper files
- Managing bring-forward systems and updating lawyers’ calendars with meetings, appointments, deadlines, and client-related activities
- Coordinating client meetings, meeting rooms, catering, and audiovisual requirements
- Reviewing and directing incoming correspondence and preparing outgoing mail and courier deliveries
- Responding to routine client inquiries and directing telephone calls as appropriate
- Assisting with daily time entry, billing preparation, and expense reports
- Coordinating new client and matter openings
- Working with internal administrative and support departments to ensure tasks are completed efficiently
- Providing backup assistance to other Legal Administrative Assistants when required
- Maintaining current knowledge of court procedures, legal terminology, and relevant technology
- Providing additional administrative and practice support as required
Qualifications and Skills:
- Legal Administrative Assistant diploma or equivalent education and experience
- Minimum of three years of experience as a Litigation Legal Administrative Assistant
- Strong knowledge of legal terminology, court rules, procedures, and filing requirements
- Experience managing confidential and sensitive matters
- Strong word-processing, document-production, proofreading, and editing skills
- Advanced proficiency with Microsoft Word, Excel, Outlook, and other office applications
- Excellent organizational, time-management, and multitasking skills
- Ability to work accurately and efficiently under pressure
- Ability to monitor files and follow up on outstanding matters with minimal supervision
- Strong verbal and written communication skills
- Professional judgment, discretion, and commitment to confidentiality
- Positive, collaborative, and client-service-focused approach
- Flexibility to occasionally work overtime when required
