About the Role
Allerion Oilfield Services Inc. is seeking a rigorous, highly organized Project Controls Administrator to manage financial tracking, cost control, fixed asset and inventory tracking, and procurement logistics for ongoing projects servicing our clients in the oil and gas industry. Operating out of our Corunna head office, this is a highly financial-focused role that serves as a critical link between operational data and corporate finance. You will accurately track adherence to budgets through the precise allocation of all costs associated with active jobs, strictly following specific client reporting/communication needs and all outlined specifications such as invoicing frequencies and required documentation submissions. This is achieved through meticulous cost reconciliation, purchase order management, and full-lifecycle client invoicing, while supporting Project Managers through continuous cost-variance analysis and maintaining audit-ready project documentation.
Key Responsibilities
- Project Cost Tracking & Allocation: Monitor and manage all incoming and outgoing project costs—including labor/manpower, equipment, and materials—ensuring precise cost allocation across multiple active jobs to accurately track budget adherence.
- Client-Specific Invoicing & Reporting: Generate, format, and submit all client invoicing and financial reports in strict accordance with client-specified reporting needs, contract terms, required invoice frequencies, and backup documentation inclusions.
- Accounts Receivable Management: Track all submitted client invoices through the entire lifecycle to confirm payment receipt and maintain predictable cash flow.
- Procurement Logistics: Issue official Purchase Orders (POs) for third-party services, materials, travel, lodging, and any expected/unexpected project costs that arise. Inventory control and occasional facilitation of goods/equipment shipments to and/or from client sites as requested.
- Accounts Payable Reconciliation: Reconcile all incoming project vendor invoices and receipts to ensure absolute accuracy of accounts payable records prior to processing.
- Project Management Support: Provide continuous status reports and cost-variance analysis to support Project Managers and corporate management in decision-making.
- Document Control: Maintain highly organized, complete, and audit-ready project files and documentation. Maintain record of fixed assets.
- Administrative Support: Additional administrative support duties as assigned by management.
Qualifications & Skills
- Technical Proficiency: Excellent computer skills with high level of proficiency in Microsoft Excel (data manipulation, formulas, cost tracking spreadsheets).
- Industry Software: experience with JONAS software considered an asset
- Organization & Multi-Tasking: Exceptional time management skills with the ability to prioritize while managing multiple tasks under tight operational deadlines.
- Communication: Strong written and verbal communication skills.
- Attention to Detail: High analytical capability for cost reconciliation and identifying budget variances.
- Experience: 5+Previous experience in project controls, project administration, or project accounting within industrial services, construction, or oilfield sectors.
