The Role: Fleet Administrator
In this essential role, you will be the backbone of our fleet operations in Markham. You will manage the full lifecycle of our vehicles—from procurement and licensing to maintenance and disposal. Your diligence ensures our drivers stay safe, our costs stay low, and our documentation remains audit-ready and compliant.
Key Duties and Responsibilities:
- Driver Support: Provide top-tier customer service to drivers regarding vehicle issues, maintenance, licensing, and general inquiries.
- Maintenance Coordination: Minimize downtime by proactively scheduling preventive maintenance and coordinating necessary repairs.
- Data Integrity: Maintain accurate data within the fleet portal and Acumatica (tracking fuel, 407 tolls, maintenance, and mileage).
- Compliance & Licensing: Manage vehicle licensing, plate renewals, permit stickers, and critical CVOR documentation.
- Cost Management: Actively monitor fleet costs to identify potential savings in fuel, tolls, and repair expenditures.
- Lifecycle Management: Oversee the ordering of new vehicles and coordinate the disposal of end-of-life units.
- Reporting: Keep fleet inventory, documents, and operational reports meticulously up to date.
What You Bring to the Table:
- Professional Background: 1–3 years of experience in fleet, logistics, or a high-volume administrative support role.
- Tech Savvy: 1+ years of experience with IoT and tracking systems (e.g., Fleet Freedom, Samsara).
- Data Mastery: High attention to detail with strong data accuracy skills. Skilled in Excel and able to manage competing priorities.
- Communication: Strong verbal and written communication skills with a customer-service-first orientation.
- Asset: Previous experience with Acumatica or specialized fleet management systems is considered a significant asset.

Salary Range: $55,000 – $60,000 Annually
