Position Summary
The Administrative Assistant provides administrative and clerical support to ensure the efficient operation of the college. This role serves as a primary point of contact for students, faculty, staff, and external stakeholders, while assisting with student records, admissions support, scheduling, and general office administration.
Key Responsibilities
Administrative Support
- Answer and direct phone calls, emails, and walk-in inquiries.
- Prepare correspondence, reports, forms, and other administrative documents.
- Maintain filing systems, databases, and records in both electronic and paper formats.
- Schedule meetings, appointments, and campus events.
- Assist with office supply inventory and ordering.
Student Services Support
- Provide information to prospective and current students regarding programs, policies, and procedures.
- Assist with student registration, enrollment, and orientation processes.
- Maintain accurate student records and ensure confidentiality.
- Support student attendance tracking and document management.
- Assist students with administrative requests and referrals to appropriate departments.
Admissions and Compliance Support
- Assist with processing applications and admission documents.
- Verify completeness of student files and supporting documentation.
- Support compliance with institutional policies and regulatory requirements.
- Prepare reports and documentation for audits, inspections, and accreditation reviews as required.
Faculty and Campus Support
- Assist faculty with classroom scheduling and administrative needs.
- Coordinate room bookings and campus logistics.
- Support the organization of workshops, graduation ceremonies, and student events.
- Collaborate with various departments to ensure smooth day-to-day operations.
Qualifications
- Diploma or certificate in Business Administration, Office Administration, or a related field.
- Minimum 1–2 years of administrative experience; experience in an educational institution is an asset.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
- Ability to handle confidential information with discretion.
- Strong attention to detail and accuracy.
- Ability to work independently and as part of a team.
Preferred Qualifications
- Experience working in a private college, post-secondary institution, or educational environment.
- Familiarity with student information systems and learning management systems.
- Knowledge of admissions and student records processes.
Working Conditions

- Occasional evening or weekend work may be required during special events or peak enrollment periods.

Pay: $18.25-$26.72 per hour
