Our company is currently seeking an outgoing, enthusiastic Lead Scheduler to fill a full-time position in our Edmonton, AB office.
Job Description:
The ideal candidate will have a clerical background in the Construction or Mechanical industry. This candidate is expected to have the ability to comfortably interact with clients and staff (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality, which is crucial to this role.
Responsibilities:
- Support in the booking and scheduling of all inspections to ensure the field and port field technicians’ time is used effectively
- Providing guidance, and fostering a collaborative environment
- In accordance with Kova Scheduling Procedure, ensure that Schedulers are providing Technicians/Leads/Supervisors with adequate information to perform inspections by providing details such as:
o New or existing client
o Specific job details
o Job locations
o Site contact information
o Billing information
o Request and note purchase order numbers (or note if the client does not use purchase order numbers)
o Knowledge of specialized tools necessary for the job (i.e. UT Machine)
o Any potential work hazards
- Identifying potential scheduling conflicts and delays, developing strategies, and escalating critical issues to Field Supervisors
- Maintain internal and external client satisfaction with professionalism and alignment with our core values
- Ensure all Technicians and Supervisors are aware of ALL Kova and client policies (i.e. safety logs, inspection requirements, proper paperwork etc.)
- Make sure clients are aware of inspection costs and rates when necessary
- Prepare, monitor, track and follow-up on Crane Letters, and maintain port utilization
- Track and coordinate vehicle maintenance
- Work alongside Clerical Team Lead to meet client timelines, and expectations by accurately reporting and communicating on deliverables
- Assist with preparing formal estimates and quotes with the support
- Ensure all interoffice billing is completed in accordance with current policy
- Maintain communications among employees, ensure all employee are following proper protocol for performing inspections
- Monitor Field Dashboard with Field Supervisors, ongoing files to be submitted for either interim or final invoice and reporting
- Report and audit field on a weekly basis

- Strong PC and typing skills i.e. Word, Excel, and Outlook.
