The Leasing Administrator is the first point of contact with our prospective tenants and must provide a friendly and personable experience over the phone and through email or text. The successful candidate will be responsible for supporting the administrative needs of the department such as processing applications and preparing and executing leases. The Leasing Administrator is responsible for accuracy in all areas from managing the calendar to preparing legal lease documents and is a key player to the team’s overall success in meeting departmental requirements and targets. This role is located in office at our 7 Green Acres Lane, Navin, MB head office location.
This role will work the following schedule: Monday to Friday, 8:00am to 4:30pm.
Key Responsibilities
- Reply to incoming inquiries via email, phone, online applications and text as well as in person inquiries at the office.
- Book tours, move-ins, tenant appointments and assist in the maintenance/management of the leasing calendar.
- Provide Notice of Entry emails to existing residents for the purposes of showing suites.
- Confirm appointments and provide direction to prospects on showing details.
- Process rental applications.
- Create Lease Documents including tenancy agreements and subsequent forms to be sent to tenants for signature.
- Retrieve all signed lease documents from incoming tenants, execute the leases and prepare files for the Property Management team.
- Follow up with prospects who attended recent showings, open houses and those added to waiting lists.
- Assist in scheduling move-in and move-out appointments as needed.
- Create tenant move-in packages and gift bags.
- Complete assigned administrative projects as required.
Qualifications & Experience
- Minimum 2 years of administrative experience required.
- Strong interpersonal and communication skills (verbal and written) are required.
- Must have a valid Class 5 Driver’s License and access to a reliable vehicle.
- Must be proficient in Microsoft Office Suite (Excel, Outlook, Word, Teams, etc.).
- Highly organized and able to effectively prioritize tasks and schedule accordingly.
- Displays critical or strategic thinking skills.
- Attention to detail with high accuracy in working with documents, reports, and data entry.
- Ability to manage conflicting priorities and workloads in a fast-paced work environment.
