Overview
We are seeking a professional and organized Receptionist/Accounts Assistant to join our team. This role is essential in providing excellent customer service, managing administrative tasks, and supporting the financial operations of our office. The ideal candidate will possess strong clerical skills, experience with office software, and a friendly demeanor to handle front desk responsibilities efficiently. Prior experience in auto body shop with the experience of dealing insurance claims , along with proficiency in QuickBooks and MS office is an asset . Responsibilities
- Greet visitors and manage front desk operations with professionalism and courtesy
- Answer multi-line phone systems, direct calls, and take accurate messages
- Schedule appointments and maintain calendar updates for clients
- Perform data entry tasks accurately using Microsoft Office, Google Workspace, and other relevant software
- Manage filing systems to ensure documents are organized and easily accessible
- Support bookkeeping activities using QuickBooks and assist with basic bookkeeping tasks
- Handle customer inquiries via phone, email, or in person, providing exceptional customer support
- Assist with administrative duties such as proofreading documents, managing correspondence, and maintaining office supplies
Skills
- Proficiency in QuickBooks, Microsoft Office Suite (Word, Excel, Outlook),
- Strong computer skills with the ability to learn new software quickly
- Excellent organizational skills with keen attention to detail
- Effective data entry abilities with high accuracy and typing speed
- Clerical experience with familiarity in filing systems and administrative procedures
- Exceptional customer service skills along with professional phone etiquette
- Experience working at the front desk or handling multi-line phone systems preferred
- Background in auto body shop environments is advantageous
- Strong proofreading skills for document review and correspondence management
- Ability to multitask efficiently in a fast-paced environment while maintaining professionalism
Pay: $18.00-$22.00 per hour
