Occupancy Pipeline Specialist (6-Month Contract)

Amica embraces pay-for-performance compensation philosophy and offers a competitive total compensation package designed to reward performance.
Expected Salary Range: $56,000 - $70,000
Vacation: Generous annual vacation entitlement, aligned with company policy.
Compensation is determined based on skills, experience, and qualifications. Candidates whose experience surpasses the expectations for this role may be eligible for compensation above the advertised range.
About the Role
Amica Senior Lifestyles is seeking an experienced professional to support a six-month Occupancy Pipeline Optimization Initiative.
This initiative is designed to improve the integrity of Amica's occupancy pipeline by ensuring prospect information is current, actionable, and aligned with today's business priorities.
Working with a select group of priority residences, the Prospect Re-Engagement Specialist will reconnect with existing prospects and families to confirm their current status, update CRM records, obtain communication consent, and identify qualified opportunities for residence sales teams to re-engage.
This is not a sales role. Rather, it is a relationship-based outreach role focused on strengthening the quality of our prospect pipeline, improving data integrity, and enabling residence sales teams to focus their efforts on the most relevant opportunities.
Key Responsibilities
Prospect Outreach
Conduct thoughtful outreach to existing prospects and families to:

Confirm their current stage in the senior living journey.
- Determine whether they are still considering senior living.
- Understand whether they have chosen another senior living provider or decided to remain at home.
- Confirm if they have already moved or if circumstances have changed.
- Identify prospects who may benefit from follow-up by the local residence sales team.
- Facilitate a warm handoff or arrange follow-up with the Residence Sales Consultant when appropriate.
CRM & Pipeline Quality
Maintain accurate, complete, and actionable prospect records by:

Updating prospect status and disposition.
- Recording current living arrangements and decision status.
- Updating contact information and substitute decision-maker details.
- Recording anticipated timing for future follow-up where appropriate.
- Documenting conversation outcomes and relevant notes.
- Ensuring CRM records support accurate pipeline reporting, forecasting, and future sales activity.
Consent Management
Support Amica's communication strategy by:

Confirming or obtaining CASL-compliant consent for email communications.
- Confirming or obtaining consent for SMS communications where appropriate.
- Updating communication preferences within the CRM.
- Ensuring prospect records are complete and compliant with applicable requirements.
Market & Occupancy Intelligence
Capture insights that strengthen future occupancy strategies, including:

Reasons prospects delayed or decided against moving.
- Common barriers to making a decision.
- Competitor selection, when voluntarily shared.
- Anticipated timing of future moves.
- Emerging trends that may inform future marketing, sales, and occupancy planning.
Success Measures
Success in this role will be measured by:

Improved accuracy and completeness of CRM records.
- Number of prospect records reviewed and updated.
- CASL and SMS consent captured.
- Qualified follow-up opportunities identified for residence sales teams.
- Actionable market and competitive insights documented.
- Contribution to a more accurate, reliable, and actionable occupancy pipeline.
Qualifications
The ideal candidate will bring both experience and empathy, with the ability to engage seniors and families in thoughtful, respectful conversations.
Qualifications include:

Experience in senior living sales, retirement living, healthcare, hospitality, or another customer-focused role.
- Excellent communication and relationship-building skills.
- A warm, empathetic, and professional telephone manner.
- Strong organizational skills and attention to detail.
- Experience working with CRM systems and maintaining accurate records.
- The judgment to recognize when a prospect should be referred back to the residence sales team for further follow-up.
Former Amica Sales Consultants, General Managers, or other experienced senior living professionals are encouraged to apply.
