We are recruiting a Payroll & Benefits Administrator – Administration (1000). Reporting to the Comptroller and/or Finance Coordinator, this role is responsible for processing full-cycle payroll, administering group employee benefits, managing time and attendance systems, ensuring compliance with legislation, and acting as liaison for payroll and benefits inquiries.
KEY RESPONSIBILITIES:
- Manage and process semi-monthly payroll system which includes verifying new employee set-up, changes to employment status, and producing standard payroll reports following each cycle.
- Process employee time and attendance data to payroll and reconcile variances through Dayforce system.
- Maintains vacation and sick time records.
- Prepare submissions and complete monthly remittances and reconciliations including general ledger accounts for source deductions and employee benefits.
- Prepare monthly payroll journal entries.
- Ensuring payroll records are kept up to date.
- Provide timely responses to employees regarding pay and benefit inquiries.
- Provide training for new hires to ensure full utilization of Dayforce - payroll and time management system.
- Maintain a strong working knowledge and ensuring compliance with all policies, procedures, legislation, standards, and regulations.
- Responsible for reconciliation of all benefits and deductions, preparing audits and reports as requested.
- Ensure remittances for government deductions and third-party deductions are paid.
- Balance payroll register at year-end for preparation and production of T4’s/T4A’s.
- Prepare periodic reports and remittances for WSIB.
- Communicate with and provide information and specified reports to outside organizations such as Canada Revenue Agency, Employment Insurance, Statistics Canada and among others.
- Compiles statistical reports, statements and summaries related to pay and benefit accounts such as vacation entitlement, sick leave and overtime banks.
- Collaborate with other Finance and HR Department personnel.
- Ensures compliance with laws and regulations including payroll, taxes, benefits and pension plans.
- Performs other related duties as required.
QUALIFICATIONS:
- A diploma in Payroll Administration or the equivalent combination of education and experience totaling three (3) years is required for this position.
- Demonstrated understanding and knowledge of payroll regulations and employment legislation and basic accounting.
- Computer proficient with demonstrated skills in MS Office Suite including Excel, Outlook, and Word.
- Demonstrated high level interpersonal skills in handling sensitive and confidential information and documentation.
- Understanding of provincial and federal payroll, tax and benefits regulation.
- Strong attention to detail, organizational skills, and ability to meet deadlines.
- Experience in Dayforce is considered a strong asset.
- Payroll Compliance Practitioner (PCP) designation is preferred.
MANDATORY JOB REQUIREMENTS:
- Satisfactory Criminal Record Review (Vulnerable Sector Check).
- Evidence of a Tuberculosis Test in compliance with the TB Control Program.
