Job Purpose
The Events Coordinator will assist in the planning, execution, and evaluation of various events, including, but not limited to, virtual and in-person learning events, trade shows, company golf tournaments, internal corporate events, and other external events. This role supports the Events Manager in delivering high-quality experiences that align with organizational goals and reinforce the company’s brand values and reputation. The Events Coordinator will collaborate with internal teams, external vendors, and stakeholders to ensure events run smoothly, within budget, on schedule, and are consistent with the brand’s identity, messaging, and overall strategic vision.
Roles & Responsibilities
Event Planning & Coordination
- Assist in developing event concepts, timelines, and budgets in collaboration with the Events Manager.
- Coordinate logistical aspects of events, including venue selection, catering, transportation, and equipment rentals.
- Develop and maintain event checklists, timelines, and production schedules to ensure seamless execution.
- Manage vendor relationships, including contract negotiation, procurement, and service delivery.
- Collaborate with marketing teams to design promotional materials and coordinate event advertising campaigns.
Administrative Support
- Maintain detailed event documentation, including budgets, contracts, and reports.
- Provide post-event analysis, including attendee feedback and ROI assessments.
- Manage inventory of event supplies and promotional materials.
- Maintain and update inventory of company assets used for events.
- Other duties as assigned to support team initiatives.
Event Execution & On-Site Management
- Serve as the primary point of contact during events, addressing issues and ensuring smooth operations.
- Oversee (in collaboration with the Events Manager) event staff, volunteers, and vendors to ensure adherence to schedules and quality standards.
- Conduct pre-event briefings and post-event evaluations to identify improvements.
Types of Events & Related Duties:
Virtual & In-Person Educational Events
- Coordinate all aspects related to virtual event deployment from promotion to ‘live’ execution
- Feed into promotional and communication assets needed for pre and post event deployment.
- Collaborate with marketing team colleagues to acquire core content.
- Provide on-site coordination support to ensure smooth delivery of in-person learning events
- Provide support to ensure seamless delivery of virtual events, such as webinars of the like, using platforms such as zoom
Trade Shows
- Manage exhibitor logistics, ensuring booth setup, furniture, and technology are ordered when required.
- Handle registration, attendee communications, and promotional materials distribution.
- Ensure all materials, signage, and supplies are prepared and shipped on time.
- Coordinate with marketing to identify sponsorship/promotional opportunities.
- Maintain inventory of required tradeshow collateral.
Annual Charity Golf Tournament
- Coordinate with venues to arrange tee times, food and beverage service, and event flow.
- Handle participant registration, sponsorship packages, and promotional materials.
- Oversee (in collaboration with the Events Manager) on-site execution, including staff coordination and participant experience.
Internal Corporate Events
- Support internal corporate events such annual meetings and possibly other things like team-building activities, holiday parties, and training sessions.
- Manage RSVPs, catering, venue setup, and audiovisual requirements.
External Client Facing Events
- Coordinate client-facing events, networking sessions, and sponsorship engagements.
- Develop detailed itineraries and ensure clear communication with stakeholders
Qualifications
- Post-secondary education or a diploma/certificate in Event Planning, Recreation Management, or Hospitality from a recognized institution will be considered as an asset.
- 2 - 4 years of experience in program planning, and/or coordinating and supporting a variety of events, such as tradeshows, webinars, educational sessions, and corporate or social events.
- Strong attention to detail and ability to manage multiple tasks simultaneously.
- Experience collaborating with internal teams, vendors, and other stakeholders to ensure smooth event execution.
- Commitment to delivering high-quality experiences for attendees and stakeholders.
- Creative and adaptable, with strong problem-solving skills overcome challenges during event execution.
- Excellent communication and interpersonal skills to build positive working relationships.
- Organized and dependable, with good time management and follow-through.
- Comfortable with travelling as needed to support events.
- Experience with CMS platforms, marketing tools, and CRM systems such as HubSpot is considered an asset.
- Previous experience in implementing marketing initiatives and knowledge of the construction industry is considered an asset.

Other Information
- This is a full-time position (Monday to Friday, 8 am to 5 pm).
- This position is open to candidates based within our Île-des-Chênes, Manitoba office.
