Job Overview
The Sales Coordinator manages a designated market segment and provides comprehensive support to the sales and marketing team. Key responsibilities include preparing proposals, contracts, resumes, introductory and thank you letters, and assisting with group reconciliation and consumption tracking. Additionally, this role will include a sales component where they will be responsible for selling a sales territory.
This role is integral to cultivating customer relationships and actively contributing to the achievement of sales targets, while supporting the broader sales team efforts. The Coordinator is responsible for distributing crucial group and event information, such as resumes and memos, to all relevant departments, and promptly communicating any updates or changes. Furthermore, the Sales Coordinator is tasked with maintaining and updating all associated paperwork, including contracts and proposals, throughout the duration of the event or function.
CORE FOCUS & ESSENTIAL RESPONSIBILITIES
Qualified candidates must be able to satisfactorily complete the following responsibilities. Other duties may be assigned.
- Coordinate and oversee the group booking process with all departments
- Complete all contracts once the information is received.
- Act as the liaison for groups between client and hotel once a group has gone definite.
- Obtain all rooming lists, monitor rooming list cut off dates, manage all room blocks, postings, and any other additional needs of the client to ensure a successful event at the property.
- Prepare, distribute, and post in shared drive group resumes and BEOs to department leaders.
- Conduct weekly group resume meetings.
- Meet allocated budget for assigned sales territory
- Support sales team with outbound sales strategies
- Provide support to the DOS on all communication and sales, projects and reports.
- Conduct site inspections; pass on leads/enquiries to ensure follow up as necessary.
- Input all activities in the system, including but not limited to preparation of proposals, contracts,
- letters, group bookings, activities, and site inspections.
- Support Sales Team while they are out of the office traveling on business.
- Help coordinate individual reservations for VIP clients as requested by Team.
- Assist in ordering/maintaining collateral and promotional material as well as office supplies and supplies for various event spaces, as needed.
- Coordinating ordering and stock tracking of Sales and Marketing Materials & press kits.
- Produce and coordinate purchase orders for all expenses relevant to sales/marketing.

REQUIRED EDUCATION and/or EXPERIENCE
- Previous work experience in a sales environment and/or working in a hotel environment.
- Individual should be a High School Graduate and/or have a combination of experience that provides the required knowledge, skills, and ability to effectively fulfill the core focus and essential responsibilities of this job description.
- Knowledge of sales system software preferred.

- Ability to compute basic mathematical calculations.
