At Lark Hospitality, we don’t just manage hotels; we curate experiences. We’re a collective of high-design properties across the U.S., each with its own soul. We’re looking for a Payroll & 401K Specialist based in Canada. You’ll join the Human Resources Department as part of our high-impact payroll team where your precision ensures our people are taken care of, so they can take care of our guests.
Lark is North America’s leading hospitality management company with a portfolio of five self-managed brands, representing nearly 100 hotels and 33 restaurants across 27 states and 2 countries. At Lark, we are deeply committed to creating meaningful experiences by offering personalized and authentic hospitality while fostering an environment of warmth, energy, and collaboration. Lark values honesty, transparency, and long-term relationships with both our team and business partners. We are passionate about service, making each guest's experience unforgettable while upholding the highest standards of professionalism and integrity.
You support our General Managers by auditing & handling the final submission of the payroll for about 22 of our U.S. properties (approx. 400 team members). While your home base is Canada, your heart is in the details of U.S. multi-state compliance. You’ll be the master of UKG Pro/WFM, ensuring our state tax accounts are as flawless as our guest suites.
We offer our U.S hotel team members a retirement plan designed to help our employees build long-term financial security. We pride ourselves on the seamless, accurate, and timely execution of our retirement benefits, ensuring our team can trust that their future is well managed. This role is responsible for the administration and management of all files, deductions and plan communications across the portfolio. In addition to supporting the Sr. Payroll Manager on all 401K compliance matters.
You’ll be the primary point of contact and proactive communicator with our hotel General Managers to ensure payroll is successfully & accurately processed on a weekly basis.
- The Weekly Beat: Audit and execute U.S. payroll with a "zero-variance" mindset. You’ll partner with General Managers to navigate the nuances of Coast to Coast labor laws (i.e. California meal breaks.)
- Operational Integrity: From 401(k) contributions to cell phone stipends, you ensure financial accuracy. You’ll manage funding spreadsheets and keep our credentials secure via 1Password.
- Plan Ownership & Contribution Management: Serve as the primary administrator for the company’s retirement platform. Ensure all weekly retirement contributions are accurately processed and reconciled immediately following the close of each payroll cycle.
- Vendor Partnership & Auditing: Work closely with our Ascensus representative to monitor and maintain the overall health of the plan. This includes conducting regular plan audits, reviewing compliance metrics, and ensuring data integrity.
- Internal Communication & Training: Act as the primary point of contact for retirement benefits. You will lead training initiatives and communicate plan updates effectively across the organization—from General Managers (GMs) and Regional Operations Managers (ROMs) to individual employees.
- Employee Support: Responsively address day-to-day inquiries regarding plan contributions, deductions, and platform access.
- The Expert: You have at least 2+ years of U.S. Multi-State Payroll experience.
- The Tech-Savvy Auditor: UKG Pro and WFM experience is highly preferred.
- Plan Maintenance: Prior experience managing or auditing retirement plans is a strong plus.
- It’s all in the Details: You have a "zero-error" approach. You see the story behind the data and can reconcile complex sets across different platforms with ease.
- The Communicator: Proactively communicate with General Managers, Accounting, Operations and Human Resources team on all the Retirement Plan benefits and changes
- You are legally authorized to work in Canada and thrive in a remote environment
- Remote Work: 100% remote work within Canada.
- Well-Being: Comprehensive, employer-paid Canadian health and dental benefits.
- The Guest Experience: Travel perks across the Lark Hospitality portfolio.
- The Team: A seat at the table in a collaborative HR department where your work is seen, felt, and celebrated.
Lark Hospitality is an equal opportunity employer. We believe diversity makes us stronger and are committed to an inclusive environment. If you need any specific accommodations during the application process, just let us know.
- The Digital Workspace: This is a 100% remote role. You must be comfortable spending the majority of your workday at a desk, utilizing a computer and dual monitors for deep-focus auditing and data entry.
- Mental Agility: The role requires a high level of cognitive endurance. You will frequently switch between complex tasks—such as reconciling multi-state tax variances—while maintaining a "zero-error" standard under tight processing deadlines.
- Communication Ability: You will participate in regular video calls and phone consultations with General Managers and/or other departments, across various time zones, requiring professional presence and clear verbal & written communication.
- Schedule Fluidity: You must have the mental flexibility to adjust your focus and availability to accommodate a variety of time zones while remaining anchored in Eastern Time deadlines.
