Location: Coquitlam, BC (Austin Heights)

Schedule: Weekdays (Monday–Friday), 11:30 AM – 8:00 PM (In-Office)
Compensation: $45,000 – $55,000 annually + annual performance-based bonus eligibility
Vacation: Three weeks annually during the period June 15 th to August 31st

Our leadership team is committed to operational excellence, and we are seeking an organized, proactive Bookkeeper & Studio Administrator to streamline our daily business operations and client interactions.
Position Summary
This blended role manages our day-to-day financial health while serving as an operational anchor for our studio space during peak afternoon and evening training hours. You will oversee essential accounting functions, coordinate student registrations, assist with costumes and scheduling, and act as a reliable bridge between our families, instructors, and management.
Key Responsibilities
1. Financial Recordkeeping & Compliance
- Manage Accounting Functions: Oversee daily accounts payable (AP), accounts receivable (AR), and general ledger management.
- Digital Bookkeeping: Maintain precise financial records, vendor invoicing, and client payment processing utilizing QuickBooks Online.
- Tax Compliance: Prepare and oversee provincial GST tracking, compliance filings, and related regulatory reporting.
- Financial Communication: Facilitate clear, professional communication with clients regarding billing schedules, outstanding tuition fees, and studio financial policies.
2. Studio Operations & Student Administration
- Database Management: Utilize JackRabbit dance studio software to handle student registrations, process client database changes, and track electronic tuition payments.
- Competition Coordination: Organize and execute administrative registrations for student dance competitions, managing strict tournament deadlines.
- Logistics & Inventory Support: Coordinate student costume orders, handle vendor costume invoicing, and verify size ordering sheets.
- General Administration: Assist management with class scheduling updates, administrative studio tasks, and high-priority customer service support at the front desk.
Required Skills and Qualifications
- Proven Bookkeeping Experience: Minimum 2+ years of dedicated bookkeeping or full- charge accounting experience. Accounting certification is a strong asset.
- Software Proficiency: Hands-on experience with QuickBooks Online is strongly preferred
- Experience with JackRabbit (or similar cloud-based CRM/studio scheduling platforms like Mindbody) is highly desirable.
- Local Tax Knowledge: Comprehensive familiarity with Canadian small business accounting, payroll concepts, and BC GST regulations.
- Excellent Communication: Exceptional verbal and written English communication skills; comfortable handling sensitive financial conversations with clients.
- Proactive Organization: Striking attention to detail with the ability to manage multiple operational deadlines independently in a bustling environment.
- Dance Alignment: A general background or personal affinity for dance, performing arts, or youth sports administration is considered a strong asset.
Hours, Location, and Work Environment
- This is an in-office position located at our commercial studio in Austin Heights, Coquitlam.
- The set operational schedule is Monday through Friday, 11:30 AM to 8:00 PM, including 30 minute unpaid meal break, to complete required work and support our families during busy student class periods.
