Property Administrator – Residential – JLL
What this job involves:
The Property Administrator – Residential plays a vital role in delivering exceptional property administration and resident experiences at a premier luxury rental property in Yorkville. Supporting the Property Manager and Leasing & Resident Experience Manager, you'll manage essential administrative, financial, and compliance functions that keep our community running smoothly. You'll be instrumental in maintaining operational efficiency, financial accuracy, and regulatory compliance while fostering a thriving residential community. This is an exciting opportunity to contribute directly to JLL's business objectives by supporting property performance, resident satisfaction, and operational excellence in one of Toronto's most prestigious residential properties.
What your day-to-day will look like:
Maintain accurate resident records, lease files, and documentation while preparing correspondence including rent increases, N-forms, lease agreements, and renewals.
Serve as a primary point of contact for residents, addressing inquiries professionally, resolving issues efficiently, and supporting residents throughout their journey from move-in to move-out.
Manage accounts receivable and accounts payable functions including rent collection, payment tracking, invoice processing, rent roll accuracy, and monthly financial reporting.
Ensure compliance with the Residential Tenancies Act (RTA) and Ontario regulations by preparing and issuing required notices (N1, N4, N5, etc.) and maintaining lease agreement compliance.
Support the Property Manager with budget preparation, financial reporting, and ensuring invoices are properly coded and matched to contracts.
Collaborate with the Leasing and Resident Experience team to foster community engagement while providing regular updates on resident issues, financials, and operational matters.
Manage office filing systems, building supplies, and support legal proceedings by preparing hearing materials and gathering documentation as needed.
Required Qualifications:
Post-secondary education required; College Diploma in Business Administration, Property Management, or related field preferred.
2-5 years of experience in property management or administrative support, preferably in residential property operations or resident management.
Working knowledge of the Residential Tenancies Act (RTA) and tenancy agreements with ability to prepare and issue required notices.
Proficiency in Microsoft Office Suite and property management software (Yardi experience is an asset).
Outstanding written and verbal communication skills with a customer-focused mindset and ability to balance resident perspectives with organizational impact.
Strong organizational skills with excellent attention to detail and proven ability to manage multiple priorities.
Strong problem-solving abilities, professional approach to resident concerns, and ability to work independently and collaboratively as part of a team.
Preferred Qualifications:
Demonstrated interest in pursuing a Real Estate career path with motivation to grow within the property management industry.
Experience working in luxury or premium residential property environments with high service expectations.
Familiarity with financial administration processes including accounts receivable, accounts payable, and budget preparation support.
Previous exposure to compliance documentation, legal proceedings support, and chargeback processing.
Experience collaborating with leasing teams and contributing to resident experience initiatives.
Aptitude for learning new property management systems and adapting to evolving operational processes.
Track record of championing communication, collaboration, and trust in team environments while contributing to special projects and initiatives.

Monday to Friday, 8:30am – 5:00pm | In-office 5 days per week | Contract position with opportunity for extension
