As an Service Coordinator, a typical day might include the following:
- Greet customers in a professional and friendly manner upon arrival.
- Schedule, confirm, and manage service appointments.
- Assist customers with service inquiries and direct them to the appropriate Service Advisor.
- Communicate appointment details, service updates, and vehicle readiness to customers.
- Follow up with customers to ensure satisfaction and address concerns when required.
- Maintain a high level of customer service and professionalism at all times.
- Open, update, and maintain service repair orders and customer records.
- Ensure customer and vehicle information is accurately entered into dealership systems.
- Assist with warranty documentation and service-related paperwork.
- Coordinate vehicle check-ins, check-outs, and transportation arrangements as required.
- Process invoices, payments, and service documentation accurately.
- Maintain organized records and filing systems.
- Communicate effectively with Service Advisors, Technicians, and Parts Department personnel.
- Monitor service schedules and assist in managing workflow efficiency.
- Coordinate parts availability and service appointment requirements.
- Assist with tracking vehicle status and ensuring timely customer updates.
- Support departmental goals related to productivity, efficiency, and customer satisfaction.
- Maintain accurate service records and reports.
- Assist with departmental audits, reporting, and administrative projects.
- Ensure compliance with dealership policies, manufacturer standards, and health and safety requirements.
- Support continuous improvement initiatives within the Service Department.
- Performs other repair duties as required.
This position might be right for you if:
- Previous customer service or administrative experience, preferably in an automotive dealership environment.
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- Exceptional attention to detail and accuracy.
- Ability to work effectively in a fast-paced environment.
- Proficiency with computer systems, scheduling software, and Microsoft Office applications.
- Strong problem-solving skills and a customer-focused approach.
- Experience with dealership management systems is considered an asset.
- A valid Ontario Driver's Licence is considered an asset.
