Main Function
Reporting to the Manager of Fleet Services, this position is responsible for planning, coordinating, and supervising the parts inventory expediting team, ensuring compliance with Ministry of Transportation (MTO) preventive maintenance requirements, managing digital work management processes, and assisting with capital asset replacement planning. This role plays a critical part in optimizing municipal fleet operations by ensuring timely availability of parts, streamlining workflow through the City of Greater Sudbury’s (City) Computerized Maintenance Management System (CMMS), CityWorks, and maintaining accurate compliance and performance documentation. By integrating technology, inventory control, and regulatory standards, this position supports operational efficiency, cost-effectiveness, and service reliability across municipal operations.
Objectives

Ensure full compliance with Ministry of Transportation (MTO) preventive maintenance requirements by optimizing work order management, inspection scheduling, and documentation processes within the CityWorks CMMS, while improving overall fleet service efficiency and audit readiness.

Improve inventory control processes to maintain accurate stock levels and achieve timely availability of critical fleet parts, reducing maintenance delays and supporting cost-effective fleet operations.

Provide effective day-to-day supervision to ensure smooth operations, timely and accurate work completion, and consistent service standards, while fostering employee engagement and supporting performance, development, and well-being through clear direction, feedback, and a respectful work environment.
Duties

Supervise and coordinate the activities of the parts inventory expediting team, ensuring accurate stock levels and timely availability of parts for municipal fleet maintenance.

Plan and implement inventory control processes, including procurement, ordering, issuing, receiving, and adjusting stock.

Ensure compliance with all MTO preventive maintenance requirements, including scheduling inspections and maintaining accurate records for audits and regulatory reporting.

Coordinate and facilitate service requests and work orders using CityWorks, ensuring accurate entry, tracking, and closure of work orders to support preventive maintenance and repair activities.

Train and support staff in the use of CityWorks and other digital work management tools.

Generate and analyze reports from CityWorks to monitor performance, compliance, and operational efficiency.

Review incoming work requests and collaborate with maintenance teams to prioritize and schedule preventive maintenance activities.

Liaise with vendors and contractors for parts supply and outsources maintenance services.

Manage and coordinate with the City electric vehicle (EV) charging station systems and access.

Administer the City vehicle and equipment telematic systems across the organizations fleet, including monitoring data accuracy, troubleshooting issues, and coordinating with vendors for system updates and maintenance.

Monitor and manage staff performance, conduct job performance appraisals, recruit staff, and issue discipline, act as management’s representative in the Grievance Procedure in accordance with applicable policy and collective bargaining agreement.

Assist the manager with the capital asset replacement program, including working with organizational departments to review procurement specifications and operational requirements for municipal fleet assets.

Coordinate training for staff on new equipment, tools, or certifications required to maintain compliance and operational standards.

Monitor inventory and maintenance budgets, participate in monthly budget meetings, and ensure activities remain within approved parameters.

Participate in on-call rotation to support the maintenance technician team during emergency or after-hours situations.

Keep abreast of legislative and regulatory updates related to municipal operations and liaise with regulatory authorities as required.

Responsible for the Incident Management actions and reporting for the section. Record, report, and implement mitigating control measures for any workplace hazardous conditions, health and safety incidents, and employee personal injuries.

Perform, record, and report monthly health and safety workplace inspections in conjunction with the Joint Health and Safety Committee (JHSC) member representative.

Develop and maintain a thorough working knowledge of the City’s Health and Safety policies and the applicable provincial legislation listed therein.

Qualifications
Education and Training:
-
Successful completion of post-secondary education in a related field such as Automotive/Truck and Coach Technology, Business Administration, Supply Chain Management, or equivalent.

Industry specific courses/seminars in municipal operations, inventory management or fleet maintenance considered an asset.

Maintenance or Project Management Professional (MMP/PMP) certification considered an asset.
Experience:
-
Minimum of three (3) years of related municipal operations or inventory management experience.

Minimum of three (3) years in a supervisory role, preferably overseeing inventory or logistics teams.

Minimum of five (5) years of experience working with a digital work management software platform (e.g., Cityworks or equivalent).

Experience with municipal or public sector fleet operations is preferred.
Knowledge Of:

Applicable federal and provincial legislation, including MTO preventive maintenance standards.

Inventory control principles and best practices in municipal fleet maintenance.

Computerized Maintenance Management Systems (CMMS), specifically CityWorks, and fleet management software.

Budgeting and cost control processes.

Procurement processes and capital planning principles.

Other Requirements:

Must be physically capable of operating a vehicle safely, possess a valid Class G driver’s license, and have an acceptable driving record.

Development opportunity range of pay: $3,293.50 to $3,877.30 bi-weekly (subject to review). The successful candidate will be paid at the reduced range until the minimum qualifications have been met.
