Estimating Coordinator

A Vancouver-based civil infrastructure contractor is seeking an organized and motivated Estimating Coordinator to support its estimating and pre-construction team.
This full-time, in-office position is ideal for an entry to mid-level professional who thrives in a fast-paced construction environment and enjoys coordinating multiple priorities, maintaining organized systems, and supporting project estimating activities from bid initiation through submission.
The successful candidate will play a key role in administrative support, document control, vendor and subcontractor coordination, estimating preparation, and maintaining estimating systems and databases. This position is well suited for individuals with strong coordination and analytical skills, including candidates with engineering, construction, business, or technical backgrounds.
This role offers excellent exposure to civil and infrastructure construction estimating processes and provides opportunities for growth within the organization.
Key Responsibilities
Estimating & Project Support
- Assist in the preparation and coordination of project estimates and bid submissions.
- Review drawings, specifications, and tender documents to support estimating activities.
- Perform quantity takeoffs using Bluebeam, Excel, and other estimating software tools.
- Coordinate and track bid deliverables, tender schedules, addenda, and submission deadlines.
- Support estimators in gathering pricing from subcontractors, suppliers, and vendors.
- Maintain organized records of estimates, quotations, subcontractor pricing, and bid documentation.
- Assist in preparing detailed cost summaries, reports, and estimate breakdowns.
- Participate in estimate reviews, bid closings, and post-bid evaluations.
- Help monitor and maintain labour, equipment, material, and subcontractor cost databases.
- Assist with estimate audits, historical cost tracking, and productivity analysis.
Administrative & Coordination Duties
- Maintain and organize estimating manuals, templates, procedures, and document control systems.
- Coordinate subcontractor and vendor communications and meetings.
- Support procurement and subcontractor prequalification activities.
- Maintain databases of subcontractors, suppliers, and project information.
- Track action items and maintain accurate records from meetings and bid reviews.
- Assist with standardization and continuous improvement of estimating processes and systems.
- Coordinate site visits and pre-bid meetings as required.
- Collaborate with field operations and project teams to gather production and construction information.
- Assist with proposal writing.
- Support additional estimating and operational initiatives as assigned.
Qualifications & Experience
- Post-secondary education in Engineering, Construction Management, Business, Technology, or a related field is considered an asset but not required.
- 1–5 years of experience in construction, estimating, administration, coordination, or related roles preferred.
- Strong administrative, organizational, and time management skills.
- Excellent communication and interpersonal abilities.
- Ability to manage multiple deadlines and priorities in a fast-paced environment.
- Strong attention to detail and problem-solving skills.
- Proficiency in Microsoft Office Suite, particularly Excel.
- Experience with Bluebeam, HCSS HeavyBid, or estimating software is an asset.
- Ability to read and interpret construction drawings and specifications is an asset.
- Civil construction or infrastructure industry exposure is considered beneficial.
