Job Summary
The Furniture Bank Administrator will be responsible for supporting the operations of Gateway Furniture Bank. This role includes a variety of administrative, customer service, and physical tasks, ensuring the smooth operation of furniture requests, donations, and deliveries. The administrator will work closely with the Housing First Supervisor to maintain accurate records, manage inventory, and ensure efficient scheduling of delivery and pickup of furniture.
Responsibilities
Intake/Warehouse
- Process, record and complete furniture requests
- Manage furniture donations and coordinate monthly delivery runs
- Overseeing donation pick-ups
- Keep the warehouse organized, clean and ensure clear and safe pathways
- Assist with moving, lifting furniture in the warehouse, into and out of the delivery vehicles when necessary
- Coordinating rentals for U-Haul vehicles
- Drive company van for furniture donation pickups and deliveries when required
Customer Service
- Answer phone inquiries, emails, in a timely manner
- Be helpful and share information on other resources in the community
- Marketing overstock of furniture items to the community when necessary
- Provide excellent customer service while coordinating with donors and recipients
Administration
- Support Furniture Bank operations, including donation coordination, inventory support, and program administration as required
- Maintain the Furniture Tracker Systems and spreadsheets
- Keep inventory up to date and ensure accurate data entry for all furniture transactions and distribution
- Coordinate rentals of U-Haul vehicles
- Issue donation receipts when required
Volunteer Coordination
- Assist with community outreach, promotional activities, and volunteer recruitment campaigns, including social media and community engagement efforts
- Recruit, screen, and coordinate volunteers from the community, schools, post-secondary institutions, and partner organizations
- Conduct volunteer orientations and provide ongoing training to ensure volunteers understand organizational policies, procedures, and safety expectations
- Provide day-to-day supervision, guidance, and support to volunteers within the Furniture Bank program
- Schedule volunteers and coordinate volunteer assignments to meet operational needs
- Work closely with the Human Resources department to support volunteer onboarding requirements, documentation compliance, and record management
- Assist with health and safety orientation, incident reporting, and adherence to workplace procedures
- Respond to volunteer inquiries and address concerns in a professional and timely manner
Requirements
- High school diploma
- Assess to a reliable vehicle, travel is required
- Valid G driver’s license (D license would be an asset)
- Required to have $2 million liability insurance
- Must be at least 21 years of age to drive the company vehicle
- Availability to workdays, evening and weekends
- Ability to handle multiple tasks at once
- Ability to work under minimal supervision when required
- Excellent communication skills (written and verbal – emails and phone calls)
- Ability to lift heavy items (up to 50-80 lbs.)
- Good organizational, problem solving, time management and prioritizing skills
- Proficient with Microsoft Suite (Outlook, Office/Word/Excel, PowerPoint, Teams, SharePoint)
- Strong morals and ethics, along with a commitment to staff and client privacy
- Physically able to perform all assigned tasks
- Bi-lingual in both French and English is an asset
Police Clearance and Vulnerable Sector Check Requirements
To ensure the safety of the individuals we serve, all successful candidates for this position will be required to provide a Police Clearance and Vulnerable Sector Check from their local police service. Work Conditions
- Manual dexterity is required to use desktop computers and peripherals
- Physical activities include walking, lifting, standing, and sitting
- Must be physically able to lift, move up to 80 lbs.
