We are seeking a highly organized and detail-oriented Office Manager to oversee the day-to-day administrative and financial operations of two affiliated companies. This is a hands-on role that combines office management, bookkeeping, payroll administration, and financial reporting. The successful candidate will be a proactive professional with strong accounting knowledge, excellent organizational skills, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
Financial & Accounting
- Manage the full accounts payable (AP) and accounts receivable (AR) cycle.
- Prepare and issue customer invoices.
- Process customer payments and follow up on outstanding accounts.
- Generate and distribute customer statements.
- Reconcile bank, credit card, and general ledger accounts.
- Assist with month-end and year-end financial processes.
- Maintain accurate financial records and supporting documentation.
- Monitor cash flow and assist with budgeting and financial reporting.
- Implement and monitor cost control measures to support operational efficiency.
- Work closely with management to identify cost-saving opportunities and improve financial processes.
Payroll & Human Resources Support
- Process payroll accurately and on time for multiple entities.
- Maintain payroll records and ensure compliance with applicable legislation.
- Administer employee records, vacation tracking, and payroll deductions.
- Assist with onboarding paperwork and general HR administration as required.
Office Management
- Oversee daily office operations and administrative functions.
- Coordinate office supplies, equipment, and vendor relationships.
- Answer phones, manage correspondence, and provide exceptional customer service.
- Maintain filing systems, both electronic and paper.
- Coordinate meetings and assist with scheduling.
- Support management with administrative projects and reporting.
Multi-Company Administration
- Manage accounting and administrative functions for two affiliated companies.
- Ensure transactions are accurately allocated between companies.
- Maintain confidentiality and accuracy while handling multiple sets of financial records.
Qualifications
- Minimum 3-5 years of experience in an Office Manager, Bookkeeper, or Accounting Administrator role.
- Advanced proficiency with QuickBooks (required).
- Strong understanding of accounts payable, accounts receivable, payroll, reconciliations, and bookkeeping principles.
- Experience processing payroll and maintaining payroll compliance.
- Excellent Microsoft Office skills, particularly Excel.
- Exceptional organizational and time management skills.
- Strong attention to detail with a high degree of accuracy.
- Ability to work independently while managing multiple priorities.
- Excellent verbal and written communication skills.
Assets
- Experience managing accounting for multiple companies or entities.
- Experience with cross-border accounting or business operations (Canada/U.S.).
- Knowledge of import/export documentation, foreign currency transactions, or cross-border taxation is considered an asset.
- Post-secondary education in Accounting, Business Administration, or a related field.
