Job Description
This is a medical secretary position for a specialist in Physical Medicine and Rehabilitation (PM&R). It involves management of a specialist office with scheduling of patients, scheduling of clients for medical-legal assessments, and serving as a key resource for relaying information to patients and law offices. The individual must be proficient in English (both writing and speaking).
Key Qualifications
- Medical Office Administration diploma or equivalent
- Minimum 1 year of experience in a medical office
- EMR proficiency and Microsoft Office proficiency
- Strong organizational and communication skills
- Attention to detail, punctuality, and flexibility
Responsibilities
- Greet patients warmly at the front desk, creating a welcoming atmosphere for all visitors in a professional and courteous manner
- Verify OHIP cards and version codes
- Answer phone calls, take messages, and respond to patient and lawyer inquiries
- Schedule, confirm, cancel, reschedule, and coordinate patient and client appointments as needed
- Prepare and process referrals, consultation reports, and medical correspondence
- Coordinate with referring physicians, hospitals, imaging centers, allied healthcare providers, and correspond with lawyers and law offices
- Manage incoming faxes and mail, and send out faxes and mail correspondence
- File and maintain confidential patient records
- Assist physicians with daily clinic workflow and administrative tasks
- Maintain office supplies and reorder supplies
- Maintain a clean and tidy office and reception area
Skills and Abilities
- Specialist clinic experience (especially orthopedics or neurology) preferred
- Knowledge of OHIP billing / IFH / WSIB / Medical-Legal Billing preferred
- Experience coordinating referrals and triaging urgent versus non-urgent patients
- Effective problem-solving, critical thinking, and sound judgement required
- Capacity to handle assigned or delegated tasks with responsibility
- Ability to be focused, flexible, and manage tasks effectively in a high-pressure environment
Pay: From $22.00 per hour
Schedule: Regular working hours: Monday to Friday (9 AM to 5 PM)
