Bosecke LLP is seeking a reliable, professional, and highly organized Administrative Assistant to support the day-to-day operations of our growing law firm.
This position is responsible for a wide range of administrative and office support functions, including client intake, file openings, document management, and general office administration. The successful candidate will work closely with lawyers and staff to ensure matters are opened, processed, and managed efficiently while helping maintain the smooth operation of the office.
Key Responsibilities
- Open new client and matter files and maintain accurate file records
- Assist with client intake and onboarding procedures
- Process deposit confirmations and other administrative workflows
- Conduct searches and assist with file preparation and organization
- Scan, file, organize, and maintain physical and electronic documents
- Monitor and manage shared email inboxes and respond to general inquiries
- Coordinate incoming and outgoing mail, courier packages, and deliveries
- Assist lawyers and staff with document preparation and administrative projects
- Maintain office records, procedures, and operational checklists
- Provide overflow administrative support to legal assistants and lawyers as required
- Handle confidential information with professionalism and discretion
- Contribute to a positive, organized, and team-oriented office environment
Qualifications
- Previous experience in an administrative assistant, office administration, or legal support role
- Experience in a law firm or professional services environment is considered an asset
- Strong organizational and time-management skills
- Exceptional attention to detail and accuracy
- Excellent verbal and written communication skills
- Ability to prioritize tasks and manage multiple deadlines
- Proficiency with Microsoft Office (Outlook, Word, Excel, and Teams)
- Familiarity with Unity Accounting, Unity Practice Management, or similar software is an asset
- Self-motivated with the ability to work independently and as part of a team
