The Opportunity:
The Procurement Technician provides support to our sourcing and procurement function by working directly with procurement team members and other departments with respect to processing, verifying and managing purchase orders, year-end processes (such as closing out purchase orders). This position is responsible for monitors compliance with competitive bidding law, current regulations and the City‘s procurement policy and procedures.
Responsibilities Includes:
- Responsible for processing requisitions including creating purchase orders in our financial system
- Review and verify all purchase orders ensuring accuracy and alignment on price, quantity, contract terms and conditions, and amend as required with the requisitioner
- Responsible for leading the year-end process including closing purchase orders, confirming budgets, and amending purchase orders
- Inform and provide support to internal clients and departments on required procurement processes and policies, ensuring all practices are consistent and in compliance
- Work closely with the finance team to reconcile invoices and purchase order discrepancies
- Identify areas and opportunities for process improvement
- Manages the procurement of business cards
- Assists the procurement team with placing orders for items and/or supplies as needed
- Assist with administrative tasks such as maintaining purchase records, processing invoices, and preparing report related to purchase orders and contract spend
- Maintain contract register, sending out alerts for expired contracts, following up with vendors for required documents, and monitoring due dates for month end and year end amendments
- Responsible for entering sole source documents and information into the e-bidding system
- Responsible for generating regular reports on a monthly basis or ad hoc as needed, providing data related to current procurement opportunities and status
- Support annual coordination and submission of the Award in Excellence for Procurement (AEP) award
You Bring:
- Post-secondary education, certificate, diploma or degree in an administrative field, procurement or a related field
- Either hold or be willing to obtain education and training required for a related professional designation such as CPPO and CPPB, and/or Supply Chain Management Professional (SCMP)
- Prior experience working in a procurement or purchasing environment
- Previous experience in public procurement would be considered an asset
- Basic knowledge and understanding of current procurement methodologies, and competitive processes
- Experience with creating and processing purchase orders, including verifying and follow through activities
- Previous experience with financial systems would be an asset
- Strong verbal and written communication skills
- Strong independent decision-making, problem solving and analytical skills
- Strong organizational skills
- Excellent attention to detail and accuracy
- Proficient in the use of Microsoft Office including MS Word, Excel, and Outlook
- Prior experience with e-bidding software would be an asset
- Well-developed interpersonal skills and the ability to influence and form collaborative relationships
- Ability to thrive in a fast paced environment, and process a high volume of information within tight deadlines
- Ability to work independently and to demonstrate initiative and resourcefulness
- Ability to quickly align with shifting priorities, work assignments and timelines
- Supportive attitude towards process improvement and a flexible approach to work

Additional Information:
This is a full‑time position, with 37.5 hours per week.
