Job Summary
The Student Services Coordinator is responsible for ensuring a seamless and supportive experience for current and incoming students at the College. The role focuses on student onboarding, attendance, academic progress, engagement, record maintenance, retention, graduation readiness and overall student support.
The Coordinator serves as a primary point of contact for students and works closely with the Campus Manager and the faculty to promote student success.
Responsibilities:
1. Student Support and Communication
- Serve as a primary point of contact for student inquiries, concerns and support needs.
- Provide timely, professional and student-focused customer service.
- Communicate important academic, attendance and administrative information to students.
- Provide one-on-one academic advising and support.
- Assist students in establishing and achieving academic goals.
- Maintain professional boundaries and the confidentiality of student information.
- Escalate significant student concerns to the Campus Manager promptly.
2. Student Onboarding and Engagement
- Coordinate student orientation and onboarding activities.
- Ensure incoming students receive the information, policies and resources required to begin their program successfully.
- Support the organization of student activities, engagement events and tutoring services.
- Encourage student participation and promote a positive campus environment.
- Conduct student check-ins throughout the program.
- Support student retention initiatives in collaboration with the Campus Manager.
3. Attendance and Academic Progress
- Monitor student attendance, academic progress and midpoint evaluations.
- Monitor compliance with the College’s active participation requirements.
- Identify students who may be academically or otherwise at risk.
- Coordinate early intervention and student-support plans in collaboration with the Campus Manager and faculty.
- Meet with students regarding attendance, academic performance and participation concerns.
- Prepare and issue action logs and related communications
- Document student meetings, concerns, interventions and agreed-upon next steps.
- Follow up with students to monitor improvement and compliance.
- Assist the Campus Manager with disciplinary processes when required.
4. Academic Administration
- Enter and maintain student grades accurately in student management system.
- Assist with preparing transcripts and other academic records.
- Assist with proctoring examinations and coordinating make-up assessments.
- Coordinate with instructors regarding missing grades, evaluations or academic documentation.
- Prepare enrolment verification letters for active students.
- Monitor the completion of academic and administrative graduation requirements.
- Assist with graduation preparation and student completion processes.
5. Student Files and Records
- Maintain complete, accurate and organized student files.
- Ensure all required student documents are collected, reviewed and properly filed.
- Follow up with students regarding missing, incomplete or expired documentation.
- Ensure student interactions, academic concerns, attendance issues and interventions are appropriately documented.
- Protect the confidentiality and security of student records.
- Support internal file reviews, audits, accreditation activities and regulatory reporting.
Qualifications:
Post-Secondary Diploma in a related field.
- Experience in student services, academic advising, or placement coordination preferred.
- Strong interpersonal and communication skills.
- Ability to work effectively with diverse student populations.
- Excellent organizational and problem-solving abilities.
- Passion for supporting student success and career development.
- Other duties as assigned by the CCHST management
*Access to a car and a valid driver's license for travel to external events or meetings.
Pay: $55,000.00-$60,000.00 per year
