Overview
We are seeking a highly organized and detail-oriented Administrative Assistant to support our team with a variety of clerical and administrative tasks. The ideal candidate will have strong office experience, excellent communication skills, and proficiency in various software tools. Responsibilities
- Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
- Perform data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks as needed
- Maintain organized filing systems both electronically and physically, ensuring easy retrieval of documents
- Assist with scheduling appointments, meetings, and maintaining calendars for staff members
- Provide excellent customer service to clients, vendors, and visitors by addressing inquiries promptly and courteously
- Support bookkeeping activities such as invoicing, billing, and record keeping using QuickBooks or similar software
- Proofread correspondence, reports, and documents for accuracy and clarity before distribution
- Handle administrative support tasks including copying, scanning, faxing, and mailing documents
- Support medical or dental office operations if applicable, including managing patient records and appointment scheduling
- Maintain a professional appearance at the front desk area and ensure the office environment is welcoming
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Strong computer skills with experience in data entry, filing systems, and document management
- Knowledge of QuickBooks or bookkeeping software is preferred
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
- Exceptional phone etiquette with experience managing multi-line phone systems
- Clerical experience in an office setting is highly desirable; medical or dental office experience is a plus
- Strong proofreading skills to ensure accuracy in all written communication
- Customer service orientation with the ability to handle inquiries professionally and efficiently
- Ability to prioritize tasks independently while maintaining attention to detail
- Good typing speed with accuracy for efficient document processing
