Job Overview
We are seeking a professional and organized Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service and ensuring smooth office operations. This role requires strong communication skills, proficiency in office software, and the ability to handle multiple tasks efficiently. Experience in medical or dental offices is a plus, but not required. The Receptionist will play a vital role in maintaining a welcoming environment and supporting administrative functions across various departments.
Duties
- Greet visitors and clients warmly, ensuring a positive first impression
- Manage multi-line phone systems, directing calls appropriately with excellent phone etiquette
- Schedule appointments and coordinate calendars using Microsoft Office and Google Workspace tools
- Perform data entry and maintain accurate records, files, and documentation
- Handle incoming and outgoing correspondence, including emails and mail distribution
- Assist with clerical tasks such as filing, proofreading, and document preparation
- Support bookkeeping activities using QuickBooks or similar software when necessary
- Provide customer support by addressing inquiries promptly and professionally
- Maintain a clean and organized front desk area to promote a professional environment
- Support office staff with administrative tasks such as typing reports, managing supplies, and supporting special projects
Requirements
- Proven experience in an office setting, preferably with clerical or administrative responsibilities
- Strong computer skills with proficiency in Microsoft Office (Word, Excel), Google Workspace, and data entry
- Experience with multi-line phone systems and excellent phone etiquette
- Knowledge of QuickBooks or bookkeeping experience is desirable
- Ability to handle sensitive information with confidentiality and professionalism
- Excellent organizational skills with attention to detail for proofreading and document accuracy
- Prior customer service experience demonstrating strong communication skills
- Office experience in medical or dental environments is a plus, including familiarity with front desk procedures and patient management systems
- Ability to work independently while managing multiple priorities efficiently
- High school diploma or equivalent; additional administrative training or certification is advantageous
Pay: $25.00-$28.00 per hour
Work Location: In person
