Project Coordinator - ICI - Burlington

We are recruiting on behalf of a well-established construction firm in Burlington, Ontario with a strong portfolio of ICI projects across commercial, food service, and specialized storage sectors. The Role
As Project Coordinator, you will support the project management team in the day-to-day administration and coordination of active construction projects, helping ensure jobs are delivered on time, on budget, and to a high standard of quality.
Key Responsibilities

Assist Project Managers in coordinating project activities from preconstruction through closeout

Prepare and track submittals, RFIs, change orders, and project correspondence

Maintain organized project documentation including drawings, contracts, and meeting minutes

Coordinate with subcontractors, suppliers, and consultants to ensure timely delivery of materials and information

Support scheduling efforts and flag potential delays or conflicts to the project team

Track project costs and assist in budget monitoring and reporting

Attend site meetings and prepare accurate minutes and action item logs

Assist with project closeout including deficiency tracking, O&M manuals, and warranty documentation

Liaise with clients and consultants professionally and responsively
What We're Looking For

1–3 years of experience in a construction coordinator or administrative role within ICI construction

Familiarity with construction documentation processes (RFIs, submittals, change orders)

Proficiency with project management tools such as Procore, Buildertrend, or similar

Strong organizational skills with the ability to manage multiple tasks simultaneously

Clear written and verbal communication skills

Post-secondary education in Construction Management, Engineering Technology, or a related field is an asset

Experience in commercial, restaurant, or storage construction is a plus
