Career Opportunity
We are looking to hire two Passport Coordinators, full time and full time contract, to join our Passport Program team! In this position, you will play an important role in reviewing passport purchase of service forms sent from PassportONE for individuals/families and provide timely response to all enquiries from families/individuals receiving funding through Passport. Also, you would be expected to help educate people and families of the most up to date Passport Guidelines set by the Ministry of Children, Community and Social Services.
RESPONSIBILITIES:
- Reconciling Passport claims ensuring all supporting documentation has been provided in accordance with policy guidelines.
- Communicating Passport information related to the current Passport Program Guidelines to recipients and families.
- Responding to all enquiries in a professional manner from recipients and/or families.
- Enters all data related to applications for funding and approvals into applicable databases.
- Generating and distributing reports in accordance with established timelines. When required, responding to questions regarding report details.
- Receive and distribute incoming mail, emails, web and fax requests.
- Maintaining accurate records and confidential files.
- Acting as a receptionist when greeting and directing visitors to the appropriate person.
- Attending meetings and taking meeting minutes when required.
- Ordering office supplies and maintaining office equipment such as fax, photocopier, and postage meter.
- Other duties as assigned.
QUALIFICATIONS:
- Community College Diploma in Business or equivalent.
- A minimum of 2-year experience in customer service.
- A minimum of 2 year of experience in data entry.
- Knowledge and experience in the application of funding for Passport an asset.
- Good problem solving and decision-making abilities.
- Proficiency in the use of word processing, spreadsheet, and email software applications.
- Excellent communication, interpersonal and listening skills in order to consult effectively with individuals and their families, community agencies and various other community-based organizations and professionals.
- Ability to follow flexible working hours in order to meet deadlines.
- Providing proof of vaccination for COVID-19 and maintaining vaccination status as necessary from time to time during employment.
