Position Summary
Gateway CERH is seeking a highly organized, proactive, and collaborative Operations Manager to provide one-year maternity leave coverage. This individual will oversee the day-to-day operations of the organization while supporting the successful delivery of research projects, community initiatives, events, and organizational priorities.
The Operations Manager serves as the central point of coordination for the organization, working closely with the President, Board of Directors, Research Chairs, staff, volunteers, students, community partners, and funders. The ideal candidate is someone who anticipates needs, solves problems independently, thrives in a dynamic environment, and enjoys balancing administrative leadership with relationship building.
Key Responsibilities
Administration & Office Management
· Oversee the day-to-day operations of Gateway CERH.
· Maintain organizational documentation, filing systems, and records management.
· Oversee office supplies, equipment, and general office maintenance.
· Ensure efficient internal processes and organizational systems.
· Coordinate internal and external communications with stakeholders.
Financial & Administrative Support
· Support bookkeeping processes and monitor project budgets.
· Oversee accounts payable and accounts receivable.
· Prepare, organize, and maintain financial records and documentation.
· Coordinate with external accountants for audits and financial reporting.
· Assist with budget planning and financial tracking alongside organizational leadership.
Board & Committee Coordination
· Coordinate and schedule Board, Committee, and project meetings.
· Prepare agendas, meeting packages, and supporting materials.
· Record and distribute meeting minutes as required.
· Ensure effective communication between the Board, committees, staff, and community partners.
Project Management
· Coordinate and track multiple research and community projects simultaneously.
· Maintain project timelines, documentation, and reporting requirements.
· Identify operational challenges and recommend practical solutions.
· Ensure funding deliverables and reporting deadlines are met.
· Maintain accurate project files and standardized documentation.
Human Resources & Team Support
· Support the onboarding and supervision of staff, students, volunteers, and placement learners.
· Foster a collaborative, positive, and inclusive workplace culture.
· Provide day-to-day support to team members and assist with organizational planning.
Marketing & Communications
· Review and approve organizational marketing and communications materials.
· Support website updates, newsletters, social media, and promotional initiatives.
· Assist in maintaining Gateway CERH’s professional brand and community presence.
Events & Community Engagement
· Coordinate organizational events, workshops, and community initiatives.
· Manage logistics, registrations, materials, and communications.
· Represent Gateway CERH at meetings, conferences, and community events as required.
Partnerships & Development
· Support donor, sponsor, and partner communications.
· Assist in identifying opportunities for collaboration and funding diversification.
· Build and maintain strong relationships with community organizations and stakeholders.
Additional Responsibilities
· Perform other duties and special projects as assigned to support Gateway CERH’s mission and strategic priorities.
Qualifications
The ideal candidate will possess:
· Postsecondary education in Business Administration, Communications, Marketing, Health Administration, Project Management, or related field (or equivalent experience).
· Exceptional organizational and time management skills.
· Strong written and verbal communication abilities.
· Experience coordinating multiple projects with competing priorities.
· Knowledge of financial administration, bookkeeping processes, or budget tracking.
· Experience supporting boards, committees, or not-for-profit organizations is considered an asset.
· Strong problem-solving skills with the ability to work independently.
· Proficiency in Microsoft Office Suite and cloud-based collaboration tools.
· Experience with social media, marketing, or event coordination is an asset.
Working Environment
This position is an on-site role.
Some flexibility is required to accommodate meetings, events, and organizational priorities, including occasional evening or community events.
Compensation & Benefits
· Hours: 35 hours per week
· Vacation: Two (2) weeks paid vacation
· RRSP: Employees become eligible to participate in the RRSP program after six months of full-time employment
