Job Overview
We are seeking a detail-oriented and organized Accounting and Payroll Administrator to join our finance team. This role is essential in managing accurate financial records, processing payroll efficiently, and ensuring compliance with company policies and regulatory standards. The ideal candidate will have experience with various accounting and payroll software systems and possess strong analytical skills to support our human resources and accounting functions.Key ResponsibilitiesAccounts Payable & Accounting
- Process vendor invoices accurately and in a timely manner using systems
- Perform data entry related to accounts payable and receivable transactions using accounting software such as QuickBooks or similar platforms
- Match invoices to purchase orders and supporting documentation
- Prepare and process payments by cheque, EFT, and wire transfer
- Reconcile accounts regularly to ensure accuracy in financial statements and reports
- Conduct account analysis to identify discrepancies or irregularities and resolve issues promptly
- Maintain organized financial records and filing systems
- Assist with month-end reporting and reconciliations
- Prepare reports for management review regarding payroll, expenses, and other financial data
- Support the Controller and Finance team with accounting-related tasks
Payroll Support
- Assist with payroll preparation and processing
- Review timesheets and supporting documentation for accuracy
- Maintain employee payroll records and files
- Assist with payroll reporting and employee inquiries
- Support benefits and payroll administration as required
Property Administration
- Assist with the administration of commercial properties
- Coordinate maintenance requests and service providers
- Track leases, renewals, insurance certificates, and property documentation
- Assist with tenant communications and property-related inquiries
- Maintain property files and records
- Support budgeting and tracking of property expenses
Administrative Support
- Manage electronic and physical filing systems
- Assist with data entry, reporting, and document preparation
- Support various administrative and operational initiatives
- Provide general office support as required
Qualifications
- Minimum 2–3 years of experience in accounting, bookkeeping, accounts payable, or financial administration
- Experience supporting payroll administration
- Strong organizational skills and attention to detail
- Proficiency with Microsoft Office, particularly Excel
- Experience using accounting software such as QuickBooks
- Ability to manage multiple priorities and deadlines
- Strong communication and interpersonal skills
- Property management experience is considered an asset
- Construction industry experience is considered an asset
