Job Summary
We are seeking a warm, proactive, and highly organized Venue Coordinator & Sales Specialist to join our team as the face and voice of our venue. In this hybrid role, you will lead our client experience—from the initial spark of interest to the final moments of a couple’s dream wedding day.
You will manage wedding package sales, host initial sales calls and tours, represent our venue with grace, and walk alongside couples through quarterly planning calls. Additionally, you will provide vital pre- and post-wedding day support to ensure seamless execution and unforgettable memories. Key ResponsibilitiesSales & Growth
- Lead Management & Inquiries: Promptly respond to incoming wedding inquiries with a warm, welcoming, and hospitable tone.
- Sales Calls & Tours: Conduct engaging phone/video sales calls and on-site venue tours to showcase our space, tell our story, and guide prospective couples toward the right package.
- Package Sales & Closing: Guide clients through package details, answer questions, and secure bookings to meet seasonal sales targets.
- Commission-Driven Results: Proactively represent the venue brand to boost booking rates and maximize seasonal venue utilization.
Client Relationship & Planning
- Quarterly Planning Calls: Schedule and lead structured quarterly check-in calls with booked couples to guide them through their timeline, floor plans, and venue guidelines.
- Primary Point of Contact: Serve as the trusted lead contact for couple inquiries leading up to their event, ensuring they feel cared for and supported throughout their journey.
- Vendor & Logistical Prep: Collaborate with couples and their vendor teams to review setup details, timeline nuances, and weather contingency options.
Pre- & Post-Event Support
- Pre-Wedding Readiness: Assist with final venue walk-throughs, logistics prep, and ensuring all event layouts and detail sheets are accurate for execution.
- On-Site Representation: Represent the venue on event days (as scheduled) to welcome vendors, support the couple during setup windows, and ensure venue standards are maintained.
- Post-Event Wrap Up: Assist with post-wedding communication, collecting client feedback, facilitating damage deposit reviews, and requesting photos for venue marketing.
Qualifications & Experience
- Experience: 2+ years in event coordination, venue management, sales, or hospitality.
- Sales Acumen: Proven ability to connect with clients, close sales, and articulate package value with enthusiasm and confidence.
- Exceptional Communication: Outstanding written and verbal communication skills with a warm, empathetic, and professional demeanor.
- Highly Organized: Strong multi-tasking and project management skills; capable of managing multiple client timelines simultaneously without losing sight of the small details.
- Flexibility: Willingness to work a flexible schedule, including weekends and evenings during peak wedding season.
- Tech-Savvy: Familiarity with CRM systems, digital calendars, basic office applications and/or quick to learn.
