We’re Hiring!
We are currently looking to fill a full-time, permanent position for a TFW Program Administrator at our Leamington ON facility.
What You'll Do:
-
Coordinate and conduct orientation training, prepare onboarding paperwork, schedule activities, and work with cross-functional departments to support a smooth first-day experience for guest workers.

Complete and maintain documentation for arrivals and departures, including flights, visa renewals, work permits, insurance, travel arrangements, and related communications to guest workers.

Enter and maintain guest worker information in the HR database, internal systems, and manual files.

Coordinate appointments for bank accounts, SINs, Health Cards, medical visits, dental visits, eye care, and other required worker appointments; arrange or provide transportation and interpretation support as needed.

Maintain confidential tracking of medical appointments and support insurance claims, balance bills, benefits administration, and related follow-up.

Coordinate with Payroll on guest worker onboarding, offboarding, payroll deductions, and required employee signatures.

Administer TFW communication channels, translate policies, notices, training materials, and worker communications for facilities and bunkhouses, and ensure communication tools are used effectively.

Support employee inquiries and complaints through in-person conversations, the emergency line, WhatsApp, and other channels; report incidents, assist with investigations, and support appropriate remediation with HR and managers.

Coordinate buses, taxis, and other transportation for appointments, events, weekly shopping, and operational needs.
-
Participate in the rotational schedule to receive and support workers at arrival and departure points in Leamington or Wheatley, including on occasion outside regular working hours.
-
Participate in the rotational after-hours support schedule, prioritize matters requiring attention, resolve or escalate issues, and return to the premises when required based on severity.

Perform and document regular bunkhouse inspections, follow up on cleanliness concerns, safety concerns, and communicate issues to workers, supervisors, and management as appropriate. Ensure communication boards are up to date.

Coordinate Health Unit and Fire Department housing inspections and support compliance with government housing requirements.

Maintain bunkhouse inventory, including furniture, kitchen supplies, appliances, bedding, emergency supplies, and related tool crib stock.

Submit, monitor, and close maintenance work orders for bunkhouses, ensuring timely follow-up on worker concerns related to housing and supplies.

Administer the uniform program by reviewing invoices, tracking supplies and garments, assisting with inventory counts, addressing worker complaints or shortages, and following up with the uniform provider.

Receive and deliver mail and packages for temporary foreign workers and prepare supplies for new workers or workers returning/departing.

Assist with supporting the TFW Program compliance by reviewing existing and new legislation, and by collecting, verifying, and administering documents required for Integrity audits in conjunction with the manager.

Assist with company events, including the Annual Christmas Party, Employee Appreciation Event, and other employee engagement activities.

Actively initiate, participate in, and support continuous improvement initiatives and complete reporting as required by management.

Maintain strict confidentiality at all times, including during employee inquiries, investigations, disciplinary matters, medical appointments, and any handling of personal or sensitive worker information.

Comply with all Health and Safety, Food Safety, Biosecurity, and Nature Fresh policies and procedures.

What You Bring:
-
One or more years of HR experience is preferred, ideally with exposure to Temporary Foreign Worker Programs in a dynamic, fast-paced, high-volume environment.

Proficiency with Microsoft 365 applications is required.

Fluency in Spanish and English is required.

Excellent verbal and written communication skills, with the ability to build and maintain trusted relationships with individuals at all levels of the organization.

Strong problem-solving skills and the ability to analyze issues, resolve unforeseen complications, and escalate appropriately.

Ability to build buy-in and alignment through strong relationships, effective communication, empathy, professionalism, and discretion.

Strong organizational skills, attention to detail, and the ability to prioritize and manage multiple tasks in a fast-paced environment.

Ability to manage sensitive and confidential information with tact and discretion.

Valid driver's license, insurability, and access to a personal vehicle are required.
-
Availability to work Monday to Saturday; after-hours support, holidays, and rotational on-call weekends may be required.
What To Expect:
-
The TFW Program Administrator generally works Monday to Friday, with occasional after-hours, holidays, and rotational on-call weekends required as needed.
-
The role includes office work and travel between facilities, bunkhouses, appointment locations, and arrival or departure points.
-
A vehicle is available most of the time for team travel, but the Administrator may be required to use a personal vehicle on occasion.
-
Working conditions are generally normal for an office environment; however, some responsibilities require work in warehouses, greenhouses, bunkhouses, and other operational areas where temperatures may vary from hot and humid to cold.
-
The role requires regular walking, sitting, standing, and driving, with occasional lifting, bending, pushing, and pulling throughout the day.

The employee must be able to complete all physical requirements of the job with or without reasonable accommodation.
