Job Title: Medical Billing & Accounts Receivable Coordinator (ODSP & Wholesale)

Job Summary
We are looking for a detail-oriented and organized Billing & Accounts Receivable Coordinator to manage a unique desk involving government-funded billing and commercial wholesale accounts. You will be responsible for the end-to-end processing of ODSP (Ontario Disability Support Program) claims for medical supplies, reconciling specialized product shipments, and maintaining strong financial relationships with our wholesale partners.
Key Responsibilities
- ODSP & Third-Party Billing: Prepare and submit accurate quotes and invoices to ODSP caseworkers and other third-party payers. Ensure all Mandatory Special Necessities (MSN) forms are current and correctly reflect the physician’s authorizations.
- Reconciliation (Incontinence Supplies): Audit monthly shipping logs against billing authorizations. Ensure the quantity and type of supplies (briefs, pull-ups, pads) shipped match the government-approved maximums to prevent claim denials.
- Wholesale Accounts Management: Manage the full cycle of B2B accounts receivable. This includes processing purchase orders, issuing invoices, monitoring aging reports, and following up on collections for wholesale clients.
- Caseworker & Client Liaison: Act as the primary point of contact for ODSP caseworkers to resolve billing discrepancies and for clients to ensure their supply needs are being met within their approved funding.
- Data Integrity: Maintain accurate digital records of all billing interactions, credit terms, and payment histories in our Xero system.
- Customer Service: Answer phones and emails.
Required Qualifications
- Experience: 2+ years in medical billing, healthcare administration, or accounts receivable. Direct experience with ODSP or Ontario Ministry of Health billing is a significant asset.
- Technical Skills: Proficiency in Google sheets (v-lookups and pivot tables) and accounting software.
- Knowledge: Familiarity with medical terminology and government funding models for medical devices or supplies.
- Communication: Strong verbal and written communication skills for professional interaction with government offices and business owners.
