20–25 hours per week | Monday to Friday | 8:30 a.m. to 1:30 p.m.
The Cowichan Valley Basket Society (CVBS), also known as the Duncan Food Bank and Lunch Kitchen, is looking for a friendly, organized, and compassionate Administrative Assistant to support the Executive Director and join our team.
Every day, our team helps individuals and families experiencing food insecurity by providing healthy food with dignity, respect, and compassion. You will play a key role in supporting the Executive Director while helping ensure the daily operations of our front office run smoothly.
This is a busy, people-focused office where compassion, professionalism, accuracy, confidentiality, and teamwork are essential.
Responsibilities
- Provide administrative support to the Executive Director.
- Be part of the office phone answering team, responding to telephone calls and general inquiries.
- Welcome guests, donors, volunteers, and visitors.
- Book food hamper appointments.
- Record donations and prepare charitable donation receipts.
- Maintain accurate donor and guest records.
- Prepare correspondence, reports, and other documents.
- Process incoming mail and email inquiries.
- Perform data entry, filing, and general office administration.
- Maintain confidential records and information.
- Assist with donor communications, fundraising activities, and special events as required.
- Support staff and volunteers with administrative tasks as needed.
Qualifications
- Previous administrative or office experience preferred.
- Excellent customer service and communication skills.
- Strong organizational skills and attention to detail.
- Proficient with Microsoft Office (Word, Excel, and Outlook).
- Experience with QuickBooks is preferred.
- Understanding of charitable donation receipting and accurate donation record-keeping is an asset.
- Ability to manage multiple priorities in a busy office environment.
- Experience with donor or client databases is an asset.
- Ability to maintain strict confidentiality and professionalism.
- Satisfactory Criminal Record Check.
