Overview
We are seeking a highly organized and detail-oriented Office Administrator to join our team. The ideal candidate will play a vital role in maintaining smooth office operations, providing exceptional customer service, and supporting administrative functions across various departments. Duties
- Manage front desk operations, including greeting visitors and answering multi-line phone systems with professional phone etiquette
- Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks
- Handle filing systems, document proofreading, and ensure proper organization of all office files and correspondence
- Support bookkeeping activities and assist with basic financial tasks related to billing and invoicing
- Provide customer support by addressing inquiries promptly and professionally, ensuring high levels of customer satisfaction
- Assist with scheduling appointments, managing calendars, and coordinating meetings for staff members
- Support medical or dental office functions if applicable, including patient check-in/out procedures and medical record management
- Maintain office supplies inventory and coordinate with vendors as needed to ensure operational efficiency
Qualifications
- Proven experience in office administration or clerical roles, preferably within a medical or dental office setting
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and QuickBooks
- Strong computer skills with the ability to perform data entry accurately and efficiently
- Excellent organizational skills with keen attention to detail for proofreading and document management
- Exceptional customer service skills with a professional demeanor and effective phone etiquette for handling multi-line phone systems
- Previous experience with front desk operations, filing systems, and administrative support tasks
- Ability to multitask effectively in a fast-paced environment while maintaining professionalism
- Prior experience in bookkeeping or medical/dental office environments is a plus but not required
- Strong typing skills and familiarity with organizational tools to streamline workflow
