Job Overview
We are seeking a professional and organized Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service and administrative support. This role requires excellent communication skills, strong organizational abilities, and proficiency with office technology. Experience in medical or dental office environments is a plus, but not mandatory. The Receptionist will play a vital role in maintaining smooth office operations and creating a welcoming environment for clients and staff alike.
Duties
- Greet visitors and clients in a friendly, professional manner at the front desk
- Manage multi-line phone systems, directing calls efficiently and courteously
- Handle data entry tasks with accuracy using Microsoft Office, Google Workspace, and other software tools
- Schedule appointments and maintain calendars for staff or practitioners
- Maintain filing systems, both electronic and paper-based, ensuring records are organized and accessible
- Assist with administrative tasks such as proofreading documents, managing correspondence, and preparing reports
- Perform basic bookkeeping functions using QuickBooks or similar software when necessary
- Support customer service efforts by addressing inquiries promptly and professionally
- Manage office supplies inventory and coordinate with vendors as needed
- Ensure the reception area remains tidy, welcoming, and professional at all times
Requirements
- Proven clerical or administrative experience, preferably in an office setting such as medical or dental offices
- Strong computer skills with proficiency in Microsoft Office (Word, Excel), Google Workspace, and data entry applications
- Experience with QuickBooks or bookkeeping is desirable
- Excellent organizational skills with keen attention to detail
- Exceptional phone etiquette and customer service skills to support client interactions
- Ability to handle multiple tasks efficiently in a fast-paced environment
- Strong typing skills with high accuracy; proofreading abilities are a plus
- Familiarity with front desk operations, filing systems, and multi-line phone systems
- Previous experience in medical or dental office environments is advantageous but not required
- Ability to work independently while collaborating effectively with team members
