About the role
We're hiring two (2) Financial Aid Advisors to own the OSAP funding process for every student enrolling at Cappa. Your job is to take students who've decided they want to attend, and get them funded, confirmed, and ready to start — without the OSAP process being the thing that loses them.
The role is busy from day one. We have cohorts starting throughout the year across trades and online programs, and each cohort means a wave of funding applications that need to be moved through OSAP cleanly and on time. This is a full-time permanent role, fully remote, with a real career path as we grow.
The specifics
What you'll do, in one line: Take every enrolling student through their OSAP application from initial conversation to funds disbursed, and keep their file clean the whole way through.
Caseload: You'll work with students that admissions has already closed. They've decided to attend. Your job is to make sure money isn't what stops them.
The buyer you're talking to: Adults 28–55, often first-generation post-secondary students, frequently nervous about debt and paperwork. Many have never applied for student aid before. They need someone who explains things plainly, doesn't make them feel stupid for asking basic questions, and stays on top of their file so they don't have to.
The work itself: OSAP applications, document collection, income verification, appeals where appropriate, communication with the Ministry, confirmation of enrollment, disbursement coordination with the bursar, and keeping every student informed about where their file stands.
The honest part
You'll know what you're walking into:
- You'll carry a real caseload and you'll be responsible for every file in it. Nothing falls through the cracks on your watch.
- You'll work some evenings during peak application windows — that's when adult students can actually sit down and do the paperwork.
- OSAP will frustrate you. The portal goes down. Documents get rejected for reasons that don't make sense. You need to handle that without it bleeding into the student call.
- You'll hear from anxious students who are stressed about money. That comes with the territory and good FAAs are calm under it.
- You're expected to respond to student inquiries within one business day. No exceptions.
- You manage your own caseload and you keep it clean.
What you actually need to have done before
- 2+ years of direct OSAP processing experience at a PCC, public college, or university financial aid office. This is non-negotiable.
- Working knowledge of the OSAP portal, the application lifecycle, supporting documentation requirements, and common rejection/appeal scenarios.
- A track record of moving students through funding successfully — you should be able to talk about cases you handled, where they got stuck, and how you unstuck them.
- A home office setup that works — reliable high-speed internet, a quiet space for calls, your own computer and headset.
- Ontario residency and the legal right to work in Canada.
