Job Summary
We are seeking a dedicated and organized Medical Office Assistant/Receptionist to join our healthcare team. The ideal candidate will be responsible for providing exceptional front desk support, managing patient interactions, and ensuring smooth daily operations within a busy medical office. This role requires excellent communication skills, familiarity with electronic medical records, and the ability to handle multiple administrative tasks efficiently. Prior experience with FHO medical office systems is highly valued to deliver seamless patient experiences and support clinical staff effectively.
Duties
- Greet patients and visitors in a professional and friendly manner, creating a welcoming environment
- Manage multi-line phone systems, rooming systems, schedule appointments, and confirm patient visits
- Maintain accurate electronic medical records using platforms such as OscarPro, Ocean, Cortico platforms.
- Experience with invoicing, dealing with insurance information and process OHIP billing or payments
- Assist with check-in and check-out procedures, including collecting necessary documentation
- Height and weight measurement and Urine dipstick test
- Handle administrative tasks such as data entry, filing, and correspondence
- Coordinate with clinical staff to ensure timely patient flow and appointment adherence
- Maintain a clean and organized front desk area, ensuring all office supplies are stocked
Qualifications
- Minimum 1+ years experience as a Medical Office Assistant or healthcare administrative in a medical office settings preferred
- Completion of Medical Office Assistant diploma program OR equivalent practical experience
- Proficiency in electronic medical records systems such as OscarPro
- Strong knowledge of medical terminology and healthcare documentation standards
- Excellent organizational skills with the ability to multitask in a fast-paced environment
- Experience handling multi-line phone systems and managing front desk operations
- Exceptional communication skills, both written and verbal
- Certification in vaccination administration is an asset
- Professional integrity with a strict adherence to patient privacy standards
- Proactive approach to acquiring new skills and adapting to evolving clinical technologies and protocols
- Exceptional ability to work independently while maintaining attention to detail effectively and as a team member to achieve shared operational goals
