The Opportunity
As the Trade Compliance & Accounts Payable Assistant, you will play an important role in ensuring import/export compliance, auditing customs and freight expenses, and supporting trade accounts payable processes. You will work closely with internal teams, customs brokers, freight providers, and supply partners to help keep operations running smoothly across all company locations.
What You’ll Do
Trade Compliance & Logistics
· Maintain current knowledge of import regulations, customs documentation, product classifications, duties, tariffs, and transportation requirements
· Communicate with customs brokers and provide documentation required by the CCRA
· Maintain CUSMA compliance and advise management of non-compliant entries or regulatory changes
· Audit customs import entries and record direct costs in the ERP system
· Verify import accuracy and coordinate corrective actions with brokers and suppliers when discrepancies occur
· Audit corporate freight expenses and ensure freight charges are properly recorded and coded
· Communicate freight-related charges to Finance for customer billing purposes
· Maintain HS codes and country-of-origin data within the ERP system
· Request and maintain U.S. vendor Federal ID information
· Coordinate and maintain annual CUSMA certifications from supply partners
· Prepare daily export customs documentation for inbound shipments from key supply partners
Accounts Payable Support
· Monitor and manage the Accounts Payable inbox
· Print, save, and organize incoming trade AP invoices
· Verify trade invoices against procurement documentation and receiving records
· Update shipment dates and process split-line SKU receiving transactions as required
· Enter trade AP invoices into the ERP system accurately and efficiently
· Maintain a high level of professionalism, ethics, and integrity in all financial and trade-related activities
What You Bring
Qualifications & Experience
· High school diploma required
· CPIM, SCMA, or related supply chain education considered an asset
· Certificate of Industrial Distribution is an asset
· 2–3 years of office administration experience
· Experience in customs import/export processes or accounts payable entry is considered a strong advantage
Knowledge & Skills
· Understanding of procurement workflows from purchase order through AP invoice processing
· Knowledge of HS classification, tariffs, import processes, and auditing practices
· Strong communication skills with both internal teams and external stakeholders
· Proficiency with ERP systems; SAP Business One experience preferred
· Advanced working knowledge of Microsoft Office 365, Excel, and SharePoint
· Excellent organizational, multitasking, and time management abilities
· Strong attention to detail and accuracy
