What are We Looking For?
We’re seeking a detail-oriented and caring Optometric Assistant to join our dynamic team. This role supports both our clinical and administrative operations, ensuring that every patient visit runs smoothly from start to finish. The ideal candidate enjoys working in a fast-paced environment, loves helping people, and thrives on collaboration and efficiency.
Key Responsibilities
- Greet and assist patients in person and through email, text, and phone, providing an exceptional, welcoming experience.
- Check patients in and out for appointments, verify demographics, enter insurance details, collect payments, and schedule follow-up visits.
- Support walk-in patients by answering questions, booking appointments, assisting with retail purchases, and providing general clinic information.
- Manage doctors’ schedules and waitlists to ensure efficiency and minimize gaps.
- Conduct pretesting and imaging based on appointment type and clinical notes, ensuring accuracy and preparedness.
- Administer diagnostic drops upon patient arrival, as permitted within the scope of training and certification (e.g., CCOA).
- Maintain efficient patient flow by coordinating with team members and adhering to appointment schedules.
- Respond to patient emails, texts, and calls promptly and professionally.
- Triage and process incoming faxes, ensuring proper scanning and filing into patient charts.
- Keep workstations organized and stocked with necessary supplies (e.g., appointment cards, debit rolls, forms).
- Contribute to a positive team environment and uphold Saugeen Shores Family Eye Care’s commitment to professionalism, respect, and patient-centered service.
- Perform other administrative and clinical support duties as needed.
Qualifications
- Previous experience in optometry, healthcare, or a related customer service role is an asset.
- Excellent communication and interpersonal skills, both verbal and written.
- Strong organizational skills with the ability to multitask effectively.
- Comfort using technology, including EMR systems, email, and scheduling software.
- Demonstrated ability to maintain confidentiality and professionalism at all times.
- Canadian Certified Optometric Assistant (CCOA) designation is an asset, but not required (training may be provided).
