As the first point of connection for employees and visitors, this role helps shape the day-to-day rhythm and culture of the organization. Serve as the primary point of contact for visitors, clients, and incoming inquiries, ensuring a professional and welcoming experience
Answer and route incoming phone calls promptly and accurately
Manage incoming and outgoing mail, courier services, and deliveries
Maintain lobby screens and digital signage
Coordinate business cards, phone system administration, and TELUS account support
Manage company vehicles, including scheduling, tracking, and coordination
Order lunches, flowers, and office refreshments as required
Coordinate seasonal office décor, internal amenities, and shared spaces
Support engagement initiatives (e.g., Photo of the Month, FCMI store)
Monitor the office environment and proactively address issues
Coordinate boardroom bookings, meeting logistics, and workspace scheduling
Prepare for on-site meetings and client visits, including room setup, materials, and catering
Support and coordinate internal and external company events (sometimes outside of regular business hours), including calendars, communications, catering, venues, décor, entertainment, and vendor management
Assist with scheduling and coordination of office maintenance and equipment servicing
Maintain inventory of office supplies, lunchroom items, and consumables
Provide proactive administrative support to internal business services and enabling functions (including HR, HSE, Pre-Construction, and other corporate teams)
Manage sensitive information with a high degree of discretion, confidentiality, and professionalism
Prepare, maintain, and update spreadsheets, databases, and filing systems to support reporting, documentation, and information management
Draft and distribute routine correspondence, emails, and internal communications to support alignment and information flow
Coordinate calendars, meetings, and scheduling in support of leadership activities and functional priorities
Perform additional administrative and coordination activities as required to support business services delivery and organizational objectives
Note: This role provides administrative support to internal business services and enabling functions and is not intended to support direct project or operational delivery.
3–5 years of experience in an administrative or office support role with progressively increasing responsibility
High School Diploma or equivalent; Administrative Professional Certificate or Diploma considered an asset
Advanced proficiency in Microsoft Office Suite
Experience operating multi-line phone systems and managing complex scheduling
Strong organizational and time management skills
Excellent verbal and written communication skills, including executive-level correspondence
High level of attention to detail and data entry accuracy
Ability to learn and adapt quickly to new tools, systems, and processes
Strong understanding of office administrative procedures and best practices
Ability to manage multiple priorities, meet deadlines, and work effectively in a fast-paced team environment
Professional discretion and the ability to handle confidential information

Ability to work independently with minimal supervision
