Key Responsibilities:
- Operational Management:
o Supervise and coordinate daily import/export air freight operations.
o Work closely with airlines, agents, and customers to ensure shipments are processed efficiently and delivered on schedule.
o Monitor shipment tracking, proactively address delays or irregularities, and report unresolved issues to the Air Freight Manager.
o Support the preparation and maintenance of customer Standard Operating Procedures (SOPs) and ensure team adherence.
o Verify and update shipment milestones, ensuring accuracy and timeliness in all system entries.
o Assist in preparing weekly operational summaries and performance reports for management review.
o Liaise with billing teams to ensure timely and correct invoicing for all completed shipments.
o Collaborate with warehouse staff and carriers to maintain efficient cargo flow and minimize storage or handling delays.
o Assist in identifying potential cost-saving measures, contributing to overall operational efficiency and quality service delivery.
o Maintain compliance with all aviation, customs, and safety regulations, ensuring proper documentation and adherence to internal policies.
o Communicate delays, status updates, and solutions directly to customers in a professional and timely manner.
o Cargowise ambassador
- Team Leadership:
o Provide daily supervision and guidance to the air freight operations team, ensuring smooth workflow and consistent service standards.
o Train team members on SOPs, system usage, and compliance requirements.
o Assign and balance workloads according to operational demands and employee strengths.
o Support staff performance by monitoring KPIs and coaching for improvement when necessary.
o Act as the first point of contact for addressing operational or customer service issues, escalating complex matters to management as needed.
o Foster a collaborative team culture focused on accountability, integrity, and continuous improvement.
o Provide hands-on operational support during high-volume or critical shipment periods.
- Month-End Closing & Financial Coordination:
o Assist in ensuring all shipments are closed and invoiced within the correct accounting period.
o Review shipment costs and billing accuracy, coordinating corrections when discrepancies arise.
o Support reconciliation of vendor invoices and coordinate with the Finance team to verify completeness and accuracy.
o Contribute to the preparation of weekly and month-end operational and financial reports.
o Maintain proper documentation for all shipments to support internal audits and financial transparency.
- Other duties as assigned.
Skills required:
- Minimum four years’ experience in Air Freight
- Strong knowledge of the CBSA eManifest portal and B13 filing, with the ability to manage, identify, and resolve errors efficiently before the penalty
- Excellent understanding of the export market, with the ability to handle both import and export operations when a team member is unavailable
- Hands-on experience in air imports, along with solid knowledge of local GHA processes, including handling ACI holds and In-bond transfers
- Proficiency in Outlook, MS Excel, Word
- Experience in using CargoWise is a plus
- Excellent time management and attention to details
- Proficiency in communications, both oral and written
